The Business Services Coordinator (BSC) serves as the operational backbone of the Business Services function, ensuring the ongoing management, coordination, and optimization of processes across Quality, Facilities, and Customer Service. This role focuses on maintaining structured systems, overseeing documentation, coordinating cross-functional efforts, and supporting leadership by managing day-to-day operational workflows and priorities.

Duties and Responsibilities:
Process & Documentation Management
· Maintain and continuously improve documentation for processes, procedures, audits, and certifications across Business Services
· Oversee and manage internal documentation libraries, including CQM documentation, Quality Specifications, and Certification/Qualification records
· Enforce naming conventions, version control, and archival processes to ensure consistency and accessibility
Project & Workstream Coordination
· Manage and prioritize a backlog of initiatives across Quality, Facilities, and Customer Service
· Lead coordination and execution of improvement efforts, ensuring alignment, progress tracking, and timely completion
· Partner with leadership to facilitate onboarding efforts with the implementation team and support ongoing process refinement
· Act as liaison between perso test and production environments.
Quality Support
· Lead coordination of the annual internal CQM audit, ensuring readiness, organization, and follow-through
· Chair the Action Report Review Board, managing data aggregation, identifying trends, and ensuring issue resolution
· Maintain the quality specifications repository and oversee ongoing support of CEC (Mastercard) program administration
Facilities Coordination
· Maintain and oversee the machine database, ensuring accuracy of vendor details, warranties, and maintenance records
· Manage Planned Preventative Maintenance (PPM) and Planned Facilities Maintenance schedules in coordination with internal teams and vendors
· Oversee the intake and routing of unplanned/emergency maintenance requests through the ticketing system
Customer Service Support
· Serve as a coordination point between Implementation, Development, Sales, and Customer Service during onboarding and operational workflows
· Manage the lifecycle of Statements of Work (SOWs), ensuring accuracy, storage, and distribution
· Oversee maintenance of key documentation, including CRM manuals, implementation guidelines, and service pricing materials
· Maintain and organize contract storage for Customer Service Account Managers
Cross-Functional Communication & Coordination
· Initiate the Coordinators Meeting, ensuring alignment and communication across functional areas
· Coordinate cross-functional initiatives, including team-building and development activities in partnership with HR
· Oversee vendor interactions and onsite visit logistics
· Manage and expand adoption of Smartsheet and related workflow tools across Business Services
· Administer internal feedback channels, ensuring visibility, tracking, and follow-up on submitted items
Job Requirements:
· Strong organizational and prioritization skills with the ability to manage multiple ongoing responsibilities
· Ability to lead coordination efforts across multiple departments and stakeholders
· Strong written and verbal communication skills
· High attention to detail and process-oriented mindset
· Ability to work independently and exercise sound judgment in managing workflows and priorities
Educational Requirements and Experience:
· 3+ years of experience in a coordination, operations, or administrative role, preferably in a cross-functional environment
· Experience with process documentation, workflow coordination, or operational support
· Proficiency with Microsoft 365 (Word, Excel, Outlook, SharePoint)
· Experience with workflow or project management tools (e.g., Smartsheet, ticketing systems) preferred
Physical Requirements:
· Prolonged periods of sitting and working on a computer
· Ability to occasionally move throughout the facility and coordinate onsite activities
