Our client is seeking a HR Generalist-Payroll and Benefit Specialist is the operational engine of the HR department, ensuring accuracy, compliance, and excellence across all HR systems and processes. You'll own payroll, benefits, HRIS administration, employee documentation, and regulatory compliance across all locations. This role is a HR Generalist maintains system integrity, processes personnel transactions with precision, and proactively identifies and mitigates compliance risks.

Key Responsibilities

Payroll & Benefits Administration

• Process payroll accurately and on schedule across all clinic locations and multiple state jurisdictions
• Investigate and resolve payroll errors, discrepancies, and adjustment requests
• Manage benefits administration end-to-end across all locations
• Audit carrier files and billing statements for accuracy and reconcile discrepancies
• Administer COBRA administration and communications
• Perform spot checks and QA on tips and commission calculations to ensure accuracy
• File workers compensation claims and maintain compliance with state requirements
• Prepare and manage FMLA and ADA documentation and compliance

Onboarding & Termination Administration

• Create and distribute comprehensive onboarding packets
• Verify I-9 forms for completeness and accuracy; conduct E-Verify checks
• Ensure all required compliance documents are captured and filed
• Prepare termination packets and process all related system changes
• Coordinate benefits termination and payroll finalization for separating employees

Compliance & Regulatory Management

• Proactively track federal and state employment law developments across all operating states
• Support multi-state compliance tracking and gap identification
• Monitor federal and state employment law developments
• Maintain and support HR compliance calendar and task tracking
• Prepare documentation and support HR audit readiness

HRIS & Systems Management

• Administer and maintain payroll system including user access, configurations, and data management
• Design, optimize, and automate system workflows and processes to enhance efficiency
• Manage system access controls, security, and user permissions
• Ensure HRIS data accuracy, completeness, and integrity through regular audits
• Generate HR reports, dashboards, and analytics to support decision-making
• Maintain proper file retention, archival, and records management in compliance with legal requirements

Strategic Project Work

• Execute quarterly HRIS cleanup and data validation initiatives
• Identify and implement payroll and process improvements
• Optimize HRIS system configurations and workflows
• Build multi-state compliance documentation repositories
• Support HRIS and payroll integration during acquisitions

Required Skills

• Proficiency in  Paycom (or similar HRIS/payroll system)
• Deep knowledge of payroll processing, tax compliance, and deductions
• Understanding of benefits administration, enrollment, and termination procedures
• Knowledge of federal and state employment law and HR compliance
• Self-directed problem-solver who spots errors and inefficiencies proactively, not reactively
• Excellent attention to detail and commitment to accuracy
• Strong organizational and project management skills
• Ability to manage multiple concurrent priorities in a fast-paced environment
• Excellent communication and collaboration skills
• Proficiency with Excel, data analysis, and reporting tools

Preferred Qualifications

• PHR, SHRM-CP, or Payroll Compliance certification
• 3+ years of payroll administration and benefits experience
• Experience with multi-state payroll and compliance
