Overview

The Housing Sr. Planner delivers a world-class service to all conference attendees through an elevated and globally consistent hotel accommodation booking experience. Operating as a strategic partner within the Conferences division during a peak period, this role focuses on first-class execution, forward-thinking inventory strategies, and product development to aid client retention and business growth.

Job Specifications

Daily Responsibilities

• Hotel Strategy & Execution: Support hotel scheduling, execution, and the overall attendee experience for North American conferences, with additional support for other global geographies as needed.

• Inventory Management: Manage hotel room blocks to ensure sufficient availability for attendees while mitigating financial risk. Maintain detailed inventory change logs and participate in weekly review meetings.

• Partner Collaboration: Coordinate closely with internal business units, Housing Managers, exhibitor companies, vendors, and hotel partners to allocate inventory and drive accurate communications across channels.

• Quality Assurance & Documentation: Perform QA testing on conference reservation websites. Create and maintain hotel-related documentation, including FAQs, guides, and email communications supporting upcoming 2026 and 2027 events.

• Financial Reconciliation: Track, monitor, and reconcile hotel invoices, rebates, and block audit results to support post-event reconciliation and inform future contracting strategies.

• Logistics Support: Support broader logistics teams by maintaining hotel information on websites and deploying targeted email campaigns to drive attendee bookings.

Must Have Skills / Requirements

• Communication: Strong oral and verbal communication skills. Resumes must be pristine and free of all errors or grammatical mistakes.

• Task Management: Proven ability to multitask, take initiative, and work independently or collaboratively within a fast-paced, global team environment.

• Core Competencies: Exceptional organizational skills, customer service focus, strong problem-solving abilities, and high attention to detail.

Technology Requirements

• Proficiency in the MS Office suite (Word, Excel), Gdrive, and SharePoint.

• Knowledge of hotel reservation systems is a plus but not required.

Education & Experience

• Experience: 1–3 years in the hotel industry (preferably in group reservations) OR 3–5+ years of business meeting planning experience. Hands-on experience with hotel/room block inventory management and large-group rooming lists is required.

• Education: Bachelor's or Master's degree with a focus on events and/or marketing is preferred, but equivalent practical experience is accepted.

• Languages: English fluency required; Portuguese language skills are a plus.

Additional Notes

• Term: Through 12/18/2026 (Fixed end date due to year-end team PTO).

• Travel/Event Support: Opportunity to attend and serve as the on-site housing lead for a Dallas-area conference in September, providing direct operational and issue-resolution support.

• Interview Process: 2 rounds (1st round with the Hiring Manager and a team member; 2nd round with the wider team or stakeholders).
