Avid Core

Job Description

Job Description

Do you enjoy bringing order to complex property and landowner information while helping large infrastructure projects move forward? Do you have experience coordinating outreach, validating records, tracking milestones, and reporting on federal land and property acquisition activities?

Avid Core is seeking a Land Acquisition & Landowner Engagement Administrative Specialist to support federal land acquisition and infrastructure programs. This role will coordinate landowner outreach, maintain accurate property and acquisition records, track project activities, and prepare reports and briefing materials that help project teams and executive leaders understand progress, spending, risks, and next steps.

To Apply: Submit resumes and cover letters through this posting. Applications without a cover letter will not be considered.

Candidates from all backgrounds are welcome to apply for our open positions and to join our bench of talented professionals.

Salary Range: $50,000-$65,000, based on experience and qualifications.

Overall Responsibilities:

  • Support federal land, property acquisition, and infrastructure programs by collecting, organizing, validating, tracking, and analyzing real estate, landowner, outreach, and project data.
  • Support the planning and execution of large infrastructure and land acquisition projects, including landowner outreach, property research, acquisition tracking, reporting, and project coordination.
  • Develop, coordinate, and distribute landowner communications, correspondence, mailings, outreach materials, briefing materials, and other project communications.
  • Manage and track landowner outreach and engagement activities, including communications, responses, points of contact, follow-up actions, and key project milestones.
  • Compare landowner and property information contained in project files, title records, databases, deeds, correspondence, public records, and other source documents with information provided by individuals claiming ownership or an interest in a property.
  • Identify and document discrepancies, duplicate records, missing documentation, conflicting ownership claims, incomplete contact information, and other data-quality issues that may affect outreach or acquisition activities.
  • Coordinate with project managers, real estate specialists, legal staff, title professionals, communications staff, and other subject matter experts to support the resolution of landowner, ownership, outreach, and acquisition issues.
  • Maintain accurate property, parcel, landowner, acquisition-status, outreach-status, contact, and project information across project tracking systems, communication logs, databases, and reporting tools.
  • Ensure project data, communications, responses, supporting documentation, and status updates are entered accurately and consistently into applicable tracking systems.
  • Track property acquisition and landowner engagement activities from initial research and outreach through negotiation, settlement, condemnation, or other final disposition.
  • Develop and maintain landowner outreach and acquisition schedules for multiple infrastructure projects, including key milestones, deadlines, meetings, correspondence dates, discussions, and follow-up activities.
  • Maintain project action-item trackers, monitor outstanding tasks, coordinate follow-up, and support the timely closure of action items.
  • Maintain organized and complete project documentation files, landowner records, communication histories, points of contact, and records of key activities.
  • Prepare weekly, monthly, and ad hoc reports summarizing outreach activities, acquisition progress, project performance, spending, risks, outstanding actions, and overall program status for project managers and executive leadership.
  • Create clear summaries, presentations, briefing materials, talking points, agendas, tables, charts, and other visual products that translate complex real estate and project data into actionable information for technical and nontechnical audiences.
  • Attend and support project meetings by preparing agendas and talking points, documenting decisions and action items, tracking follow-up activities, and providing data-driven updates on project progress and unresolved issues.
  • Perform quality-control reviews of project data, outreach records, and supporting documentation to ensure completeness, consistency, accuracy, and traceability.
  • Establish, maintain, and improve standardized data definitions, tracking procedures, reporting processes, outreach documentation practices, and quality-control standards.
  • Review existing project processes and identify potential problems, data gaps, workflow inefficiencies, or project risks; recommend and support corrective actions and process improvements before issues affect project delivery.
  • Support the development and refinement of procedures, tools, trackers, templates, and workflows that improve landowner outreach, acquisition management, reporting, and overall program performance.
  • Protect sensitive personally identifiable information, property-related records, landowner communications, and other sensitive project information in accordance with federal, client, and company requirements.
  • Perform other duties as assigned.

Qualifications/Skills:

  • 2–4 years of experience in data analysis, real estate transactions, land acquisition, title research, due diligence, public outreach, communications, project coordination, program analysis, or a related field is preferred.
  • Experience supporting federal, state, or local government programs or large infrastructure projects is preferred.
  • Experience comparing information across multiple records, databases, documents, and source systems and identifying, resolving, or documenting discrepancies.
  • Experience managing project data, trackers, communication logs, contact records, schedules, or similar information with a high degree of accuracy and attention to detail.
  • Strong written and verbal communication skills, including experience drafting landowner correspondence, outreach materials, reports, summaries, meeting materials, and executive-level communications.
  • Advanced proficiency with Microsoft Excel, including data validation, lookup functions, pivot tables, data reconciliation, and analysis of large datasets.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Ability to prepare accurate and concise reports and executive-level summaries related to project progress, spending, risks, performance, outreach, and acquisition status.
  • Familiarity with real estate transactions, deeds, title documents, public records, parcel data, eminent domain, federal land acquisition processes, or property ownership research is preferred.
  • Experience with Geographic Information Systems (GIS), parcel mapping, or geospatial data is preferred.
  • Experience supporting infrastructure, real estate, land acquisition, landowner engagement, or property-related projects is preferred.
  • Strong organizational, analytical, problem-solving, and research skills.
  • Ability to investigate conflicting information, identify patterns and potential risks, and clearly document conclusions, assumptions, and unresolved questions.
  • Ability to manage multiple properties, stakeholders, tasks, deadlines, communications, and reporting requirements simultaneously in a fast-paced environment.
  • Strong attention to detail and the ability to appropriately handle sensitive personally identifiable information and property-related records.
  • Ability to work effectively both independently and as part of a multidisciplinary project team.
  • Ability to obtain a Public Trust clearance.

We’re looking for someone who is:

  • Analytical, highly organized, and detail-oriented, with a strong commitment to maintaining accurate and reliable project information.
  • A strong communicator who can present complex real estate, outreach, and project information clearly to landowners, project teams, technical specialists, and executive leaders.
  • Professional and confident when interacting with landowners, clients, project managers, government stakeholders, and multidisciplinary project teams.
  • Comfortable investigating conflicting or incomplete information and recommending practical next steps to resolve data gaps, project risks, or outstanding issues.
  • Proactive, solutions-oriented, adaptable, and able to identify potential problems before they affect project delivery.
  • Capable of managing multiple priorities, properties, stakeholders, deadlines, and reporting requirements simultaneously.
  • Reliable, responsive, accountable, and committed to timely follow-through.
  • Comfortable working both independently and collaboratively in a deadline-driven environment.
  • Customer-service oriented and able to communicate professionally and respectfully with both technical and nontechnical stakeholders.
