About the Role

We're seeking a Financial Operations Associate to join our growing team. In this role, you'll support day-to-day financial operations across accounts receivable, accounts payable, cash application, billing, reconciliations, financial reporting, and month-end close.

You'll work closely with teams across Veridian to resolve issues, improve processes, and keep work moving. We're looking for someone who enjoys digging into the details, communicates clearly, and takes ownership of getting things done.

This position reports to the Finance Manager and works closely with Veridian's partners. You'll play an important role in the invoicing process and serve as a point of contact for customers and vendors on billing and payment matters. Strong analytical, writing, and interpersonal skills are essential, along with an interest in financial technology and payments.

How This Role Works at Veridian

What you own (accountable for the outcome):

• Control full-cycle of accounts payables and receivables processes such as invoice coding, distribution, and payment handling. 
• Support the preparation of multi-entity financial statements and ad hoc analyses, as well as the monthly close process. 
• Handle day to day customer and vendor related tickets and emails related to financial matters and inquiries.
• Support of external audits, third-party requests, & regulatory reporting
• Community budget performance — you monitor actuals, variances, and irregular postings. 

What You'll Do

Accounts Payables & Vendor Payments

• Manage vendor invoices from receipt through payment: verify supporting documentation, code expenses, route for approval, and track due dates. 
• Maintain vendor records, investigate invoice or payment discrepancies, and respond to vendor inquiries promptly and clearly. 
• Prepare payment batches and confirm that payments, voids, returns, and reissues are accurately recorded.
• Collaborate with Community managers for invoice coding & annual community budget.
• Generate weekly expense reports for each community to analyze cash flow and money going out. 

Accounts Receivable, Billing & Cash Applications

• Prepare and review customer and community invoices for accuracy, proper coding, and timely delivery.
• Apply incoming payments to the correct accounts, research unapplied cash and payment exceptions, and resolve credits, refunds, and chargebacks. 
• Review receivables aging and coordinate with Community Experience and Finance on outstanding balances and customer account corrections.
• Answer customer billing and payment questions through shared inboxes and support tickets, documenting resolutions and following through. 
• Reviewing accounts ledgers and balance reports. 
• Generate weekly revenue reports for each community to analyze cash flow and money coming in. 

Reconciliations, Reporting & Closing

• Reconcile bank, payment processor, vendor, and customer activity to the accounting records; identify and resolve differences. 
• Monitor monthly actuals against budget — flag variances with context, not just numbers.
• Support month-end close by preparing schedules, journal entry support, account reconciliations, and financial reports across multiple communities. 
• Monitor transaction trends, budget variances, and unusual postings; flag issues with enough context for the Finance Manager to act 
• Organize documentation for audits and third-party requests, and help improve workflows and controls as the team grows.

• Invoices and vendor payments move through review and approval accurately and on time, with a clear record of each decision 
• Customer payments are applied promptly; unapplied cash, refunds, and failed payments are researched and resolved rather than left open. 
• Reconciliations and close schedules are complete, supported, and ready for review by the agreed deadlines. 
• Customers, vendors, and teammates receive clear answers and reliable follow-up on financial questions. 
• Financials are clean — budget built in partnership with finance, variances explained, no surprises at year-end.
• Great communicator with the ability to effectively articulate their work. 
• Consistency and reliability in completing tasks and projects by priority.
• You spot recurring errors, explain their cause, and help put a practical fix in place .

Must-Haves

• Hand-on experience in accounting or finance operations, including accounts payable, accounts receivable, billing, cash application, or account reconciliations. .
• Working understanding of transaction coding, payment processing, financial records, and month-end procedures 
• Strong Excel or Google Sheets skills, with the ability to review data, trace discrepancies, and produce accurate workpapers.
• Strong financial acumen — budget collaboration, variance analysis, and collections support.
• A clear communicator — written and verbal — with boards, residents, vendors, and colleagues alike.
• Organized and self-starter; you manage the work, not the other way around.
• Sound judgment under pressure — you know when to decide and when to escalate.
• Ability to prioritize work across multiple communities, meet deadlines, and learn new accounting and payment systems quickly.
• Excellent attention to detail, sound judgement with sensitive financial information, and consistent follow-through. 

Nice-to-Haves

• Experience in HOA, property management, or another multi-entitity accounting environment. 
• Proficiency and adaptability to succeed with a multitude of softwares including AI programs. 
• Bachelor's degree in accounting, finance, business or related field. 
• Bilingual (English / Spanish) — functionally essential for day-to-day board and resident relations in Homestead.
• Experience with improving finance workflows or building useful reports and dashboards.
