TITLE: Venue Coordinator

STATUS: Part-time/Seasonal, hourly, non-exempt

PAY: $23.50/hour plus event-based bonuses

ABOUT THE ROLE:

Venue Coordinators serve as the primary on-site representative for Highland during private events, ensuring seamless execution while creating an exceptional experience for clients, guests, vendors, and internal teams. This role combines hospitality, event operations, problem-solving, and relationship management in a fast-paced environment. The position works on the Events Team in our Hospitality Department and reports to the Event Manager.

Highland's Event Center, Rooftop, and Barrel Room venues host more than 300 private events annually, including weddings, corporate functions, nonprofit events, celebrations, and community gatherings.

ESSENTIAL JOB FUNCTIONS:

• Anticipate guest needs proactively and conscientiously in a dynamic environment which may include beverage service, selling merchandise and packaged beer, moving seating arrangements, clearing and cleaning tables, serving guests at tables, and directing guests around campus 
• Perform campus tours for guests and vendors as necessary, maintain knowledge of the Highland brand story, beer styles, campus amenities, family history to educate and communicate our mission and vision to guests 
• Facilitate planning with clients and internal Highland departments to ensure the contract obligations are met and the guest expectation is exceeded.  
• Update Event Orders (EOs) as necessary to facilitate accurate event timing, logistics and team communication.   
• Meet vendors (i.e. caterers, florists, rental companies) and clients on event day to ensure EOs are correct and expectations for both the guest and Highland are aligned.    
• Set up and tear down event furniture and rentals per the event floor plan. 
• Maintain the appearance of Highland’s event venues during events which may include moving tables, bussing tables, cleaning glassware, serving beverages, stocking coolers, etc.    
• Accurately settle final event charges with clients including rental fees and bar charges, create event recaps with venue-related issues or third-party vendor follow-up items.   
• Perform scheduled venue tours for prospective or returning clients and vendors to facilitate event planning.   
• Assist Event Manager with creating event-related print materials and social media content, gathering event data, performing market research, creating floorplans and EOs for events as needed.   
• Collaborate with Hospitality, Taproom, Kitchen, Brewery, Facilities, and Marketing teams to ensure successful event execution and a seamless guest experience.
• Maintain a working knowledge of and adherence to North Carolina alcohol laws, policies and Highland’s permit requirements.   
• Perform other duties as needed and assigned.   

HOURS:

This is a part-time role designed to support our Events team during our busy fall and holiday season. Candidates can expect the most consistent schedule from October through December, with opportunities for continued, more limited hours after the busy season based on our event calendar. Nights and weekend availability is required.            

QUALIFICATIONS & EXPERIENCE:

• 1-2 years of experience in event planning and execution is required, and experience planning hospitality events is preferred. 
• Experience with weddings or wedding-related events is preferred.  Enthusiasm for weddings and delivering 5-star guest experience are required.  
• Experience with social media or media management is a plus.  
• Education: High school diploma is required, Bachelor’s degree or certification in Hospitality or Event Planning is a plus.  

SPECIFIC KNOWLEDGE, SKILLS AND ABILITIES:

• Must be highly organized, self-motivated, and calm under pressure, with a problem-solving mindset. 
• Ability to adapt quickly to changing priorities, timelines, weather conditions, and guest requests while maintaining professionalism and composure.
• Passionate about hospitality and creating memorable experiences through proactive service, attention to detail, and genuine guest engagement.
• Strong interpersonal communication and leadership skills 
• Excellent time management and verbal/written communication skills 
• Strong work ethic and ability to take initiative to identify problems and offer solutions
• Positive attitude with collaborative nature and ability to work with all types of people 
• Must have reliable transportation and a valid driver’s license 
• Proficiency in Microsoft Office Suite and comfort learning new technology platforms. Experience with event management software, CRM systems, scheduling tools, or social media platforms is a plus.

WORKING CONDITIONS: As this position is working in events, the physical demands of this role include, but are not limited to:

• Working in both indoor and outdoor service areas with inclement weather at times 
• The ability to lift 50 lbs and stand on your feet for long periods of time is required.  
• You must have reliable transportation and a valid driver’s license.   
• Event day execution may require 10-15 hours days.
