Employment Type: Part-Time, 20 hours per week
Schedule: Monday–Friday, 4 hours per day, or a flexible schedule of approximately 5 hours per day for 4 days per week
Pay: $15.00 per hour

About Islam in Prison

Islam in Prison is a division of Al-Furqaan Foundation dedicated to supporting incarcerated Muslims across the United States by providing Islamic educational materials, Qurans, prayer items, spiritual resources, and other forms of support. The division works with incarcerated individuals, prison chaplains, and correctional facilities to help ensure that requested materials are properly processed and meet facility requirements.

Position Summary

The Administrative Assistant will provide administrative support to the Islam in Prison division by processing correspondence and requests received from correctional facilities.

The role will include, but is not limited to, reviewing incoming letters and emails, entering and maintaining information in spreadsheets, verifying prison facility requirements, communicating with prison chaplains when needed, and entering approved requests into Shopify for fulfillment and shipping.

The ideal candidate is organized, detail-oriented, reliable, and comfortable working with spreadsheets, email, and basic online systems. The ability to carefully follow procedures and maintain accurate records is essential to ensure requests are processed correctly and materials are not returned due to incorrect or incomplete information.

This role directly supports Islam in Prison's efforts to provide incarcerated individuals with Qurans, Islamic books, prayer materials, and other approved resources.
Essential Responsibilities

• Receive and review letters and requests received from prisons.
• Validate / Verify that the information provided is complete and accurate.
• Enter request and recipient information into spreadsheets.
• Monitor the division email and process incoming requests.
• Contact prison chaplains or facility staff by phone or email to confirm requirements when needed.
• Check facility requirements to ensure requested materials can be sent and avoid returned shipments.
• Enter approved requests and items into Shopify for fulfillment and shipping.
• Keep spreadsheets and records updated with the status of each request.
• Follow established procedures for processing, verifying, and shipping requests.
• Perform other related administrative duties as needed.

• Maintain confidentiality when handling correspondence and personal information.
• Perform other administrative duties related to the operations of Islam in Prison as assigned.

Qualifications

Required

• High school diploma or equivalent.
• Strong attention to detail and accuracy.
• Basic computer skills and ability to learn new software and systems.
• Comfortable using spreadsheets, email, and web-based systems.
• Ability to communicate professionally by phone and email.
• Ability to follow detailed procedures consistently.
• Strong organizational and time-management skills.
• Ability to work independently while knowing when to ask questions or escalate an issue.
• Reliable and dependable attendance.
• Ability to work in person at the Romeoville office.

Preferred

• Experience with data entry or administrative work.
• Experience with Microsoft Excel or Google Sheets.
• Experience with Shopify or another e-commerce/order management system.
• Experience communicating with customers, organizations, government agencies, or institutional personnel.
• Previous experience in nonprofit, community outreach, administrative, shipping/fulfillment, or customer service environments.
