On-Site Services Specialist / Scanning Site Lead Location: Phoenix, AZ (85003) Potential: 3 Months+ (Temp to Permanent) Position Summary We are seeking a strong, organized, and customer-focused On-Site Services Specialist / Scanning Site Lead to support a high-volume document scanning and imaging operation for the Maricopa Public Defender and Arizona Superior Courts. The selected candidate will prepare files for scanning, operate document imaging systems, manage supplies, interact with customers, and oversee up to 6 direct reports. Strong leadership, communication, computer, and organizational skills are essential.

Key Responsibilities

• Lead and coordinate daily scanning-site operations and manage up to 6 direct reports.
• Prepare, organize, and process files for high-volume scanning and document imaging.
• Operate document imaging systems and related software.
• Use MS Office, email, and document management systems to open, save, transfer, and retrieve files.
• Perform high-volume copying, printing, binding, finishing, and quality-control checks.
• Maintain scanning, printing, service, inventory, and meter logs.
• Monitor copier and scanning equipment, clear paper jams, and report technical issues to technicians.
• Order, maintain, and distribute office and scanning supplies as needed.
• Receive, sort, and distribute mail, packages, fax transmissions, and completed jobs.
• Respond to customer questions regarding job status, requirements, and feasibility.
• Coordinate service calls and maintain customer service standards.
• Perform filing, archiving, purging, and records-management duties as requested.
• Maintain clean, organized, and well-stocked work areas.
• Support meeting rooms, conference rooms, and other building-support activities as assigned.
• Perform other duties as assigned, including occasional overtime or off-hour emergency response.

Required Qualifications

• High school diploma, GED, or equivalent experience.
• 12 years of related experience in scanning, imaging, copy/print, mailroom, records management, or office services.
• Strong leadership skills with the ability to manage up to 6 direct reports.
• Excellent communication and customer service skills.
• Assertive, organized, and able to prioritize multiple tasks.
• Strong computer skills, including MS Office and email systems.
• Ability to operate office machines, scanning equipment, and related technical equipment.
• Ability to lift or move items weighing up to 5055 lbs. and stand or walk for extended periods.
• Must successfully complete the customer-required background check.

Preferred Experience

• High-volume document scanning and imaging.
• Legal, court, public-sector, or confidential records environment.
• Document preparation, quality control, and records processing.
• Copier maintenance, bindery, finishing, and office equipment support.
