Fleet Operations Manager

Manage all areas of the Company's fleet operations including the purchasing and maintenance functions. Will have a thorough knowledge of DOT & IFTA regulations and coordinate the adherence of these regulations at each facility. Will also assist the Director of Operations in overseeing facility maintenance and upgrades at all Branches.

Essential duties and responsibilities include the following:

• Understand finance and accounting as it pertains to the acquisition (purchase or lease) of vehicles, and their accounting on the company's balance sheet.
• Provide the data needed to conduct a lease versus buy analysis and understand how such a comparison is accomplished.
• Research the supplier market to assess fleet leasing and fleet programs, such as maintenance and accident management, fuel cards, and other administrative programs.
• Price, spec, and purchase or lease vehicles; must know how manufacturers price, how to read an invoice, and the distribution network from order to delivery.
• Become familiar with the used-vehicle market; must know how used vehicles are sold and priced, and tie that into how vehicles are equipped when new.
• Have a basic understanding of vehicle systems and technology.
• Track total cost of ownership (TCO), to determine which vehicles are performing as predicted and which are not, for purposes of vehicle selection.
• Create departmental, fleet expense, and capital budgets, to submit for approval to management.
• Analyze and determine which vehicles to purchase/lease and how they are to be equipped.
• Create and/or update fleet policies and procedures, including vehicle assignment, personal use, replacement policy, accident reporting process, and other procedures.
• Determine what fleet processes should be outsourced, to which suppliers they should be awarded, and to act as primary contact with all suppliers. Track supplier performance, and train drivers in using the programs.
• Oversee the sale of Company owned vehicles via wholesale, auction, or to employees.
• Develop, maintain and purchase vehicle fleet requirement for entire company.
• Monitor DOT and IFTA compliance at the Branch level.
• Maintain professional team relationship with co-workers and service providers.
• Ensure that all vehicles are well maintained, with employee safety and work efficiency in mind.
• Provide supportive leadership to Branch management.
• Assist the Director of Operations with managing facility maintenance and property upgrades in all Branches.
• Assist all Branches with delivery routing.
• Other tasks as assigned by Management.

Supervisory responsibilities: Provide leadership for those who manage/supervise the Company's fleet. Maintain direction and compliance with company policies/work rules and applicable regulations/laws. Conduct themselves in such a manner as to encourage confidence and respect from employees and fellow managers. Give and encourage support for company policies and of other managers. Encourage constructive feedback from employees and other managers.

Competencies: Excellent interpersonal and written/verbal communication skills, competent computer skills in use of Word, Excel, and PowerPoint, with ability to create spreadsheets for analysis and tracking of various information. Negotiation skills a must for dealing with one or multiple suppliers. Demonstrated management and organizational skills.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

• Education and/or Experience: Bachelor's Degree with five (5) years' work experience in all areas of fleet management.
• Language Skills: Ability to read, analyze and interpret policies, compliance guidelines, financial reports and other legal documents. Ability to respond to common inquiries or complaints from employees, regulatory agencies, or members of the business community. Ability to present information to the management team, public groups, and/or board of directors.
• Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Must be able to compute rate, ratio and percentage; with the ability to develop and interpret graphs used for presentations or reports.
• Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions supplied in both written and verbal format.
• Computer Skills: Basic knowledge in Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Certificates, Licenses, Registrations: Class A CDL and driving record within Company MVR policy guidelines.
