Coordinator, Philanthropic Engagement

Position: Coordinator, Philanthropic Engagement – Department: Philanthropy, FLSA Grade: Non‑Exempt, Full‑Time, Pay Range: $28–$32 hourly. Position Summary The Coordinator, Philanthropic Engagement, reports to the Director of Philanthropic Engagement and provides integral administrative and planning support to the Philanthropic Engagement (formerly Major Gifts) team. The Coordinator works closely with a dynamic team of fundraisers, contributing to an annual team revenue of $9.35M. The Coordinator collaborates across teams, manages and executes all donor communications, and strategically organizes and manages all aspects of the Tessitura database on behalf of the Philanthropic Engagement team. Responsibilities include maintaining effective documentation, communicating fundraising progress, and supporting development strategic planning and implementation as required. Position Elements Collaborate and provide administrative and program support to the Philanthropic Engagement team, including the Director and Senior Officers. Provide administrative support to the Senior Director of Philanthropy, partnering closely on scheduling and calendar management, donor correspondence, accurate Tessitura records, and expense reporting. Use Tessitura database tools and analytics to maintain detailed prospect management and solicitation strategies for all prospects, track and report on the fundraising process, and update and distribute documents as needed. Coordinate prospect management information with Research and Philanthropy Operations to ensure accurate record keeping and report revenue variances. Collaborate with frontline fundraisers, research, and operations colleagues to keep fundraising plans current and accurate for all donors and prospects. Maintain Tessitura database best practices; recommend efficiency and improvement. Coordinate stewardship processes to ensure accurate donor recognition, including digital and print (Performances magazine), coordinating with Marketing and Stewardship teams. Manage and coordinate donor communication campaigns, correspondence, and proposal preparation, including email and large mailings. Draft meeting agendas and facilitate follow‑up as needed. Collaborate with Special Events and Stewardship teams to coordinate stewardship and cultivation events, track RSVPs for donor events at venues and off‑site. Act as the team liaison with other departments: Artistic Planning, Orchestra Management, Marketing, Finance, and Production. Maintain confidentiality and accuracy of donor and prospect information. Adhere to in‑office presence on Tuesdays, Wednesdays, and Thursdays; Mondays and Fridays are optional remote workdays. Perform other duties as assigned. Relationships Reports To: Director of Philanthropic Engagement Interacts With: All Philanthropy Department staff, high‑level donors and prospective donors, volunteers and Board members, executive office, artistic department, orchestra management, special events, creative services, finance, audience services, and Music Center Foundation staff and consultants. Position Requirements 2–4+ years of successful database and project management experience, preferably in the arts, consistently meeting goals and delivering fundraising solicitations and strategies. Bachelor’s Degree. Working knowledge of Tessitura or a similar CRM for tracking donor data. Broad understanding of relationship‑based fundraising; background in annual and planned giving a plus. Ability to understand patrons’ aspirations and interests to build relationships with the LA Phil. Demonstrated record of completing assignments, including timely donor contact documentation in the database. Music or arts background and knowledge of the Los Angeles philanthropic community a plus. Excellent oral, written, and interpersonal skills. Strong problem‑solving, research, and analytical skills. Strong organizational and strategic planning skills. Team‑oriented approach with respect for co‑workers and volunteers. Self‑motivated, creative, and detail oriented. Comfortable and proficient with technology: Microsoft Office, Monday.com, internet‑based collaboration, social media, and donor software. Flexible and adaptable to changing work priorities and assignments. Maintain confidentiality and accuracy of donor information. Availability and willingness to work occasional evenings and weekends for concerts and special events.
