Export Control & Compliance Administrator

Position Summary The Export Control/Compliance Administrator is responsible for supporting Bodycote’s export compliance program and ensuring adherence to applicable export control regulations, including the International Traffic in Arms Regulations (ITAR), Export Administration Regulations (EAR), and related U.S. and international trade compliance requirements. The role serves as the primary coordinator for export compliance administration, customer compliance questionnaires, registrations, recordkeeping, and reporting activities. The administrator works closely with internal departments, customers, suppliers, and government agencies to maintain compliance documentation, support licensing activities, and ensure export‑controlled information is handled appropriately. Technical assessments involving cybersecurity, information systems, CMMC, NIST, DFARS cybersecurity requirements, or other IT security controls are coordinated with and referred to the appropriate subject‑matter experts. Essential Job Functions (Duties and Responsibilities) Support and administer the export compliance program in accordance with ITAR, EAR, and other applicable export control regulations. Maintain export compliance records, licenses, agreements, registrations, certifications, and related documentation. Review customer, supplier, and government questionnaires related to export controls and coordinate responses with appropriate internal stakeholders. Serve as the primary point of contact for routine export compliance inquiries and direct technical, cybersecurity, or systems compliance questions to the appropriate subject‑matter experts. Assist with export classifications, licensing activities, and recordkeeping requirements under the direction of management. Monitor regulatory changes affecting export compliance and assist in updating policies, procedures, and internal guidance documents. Coordinate employee export compliance awareness and training activities. Support internal reviews and audits of export compliance processes and documentation. Maintain registrations and certifications including, but not limited to, DDTC registrations, SAM registrations, CAGE and UEI records, Joint Certification Program (JCP) registrations, Canadian Controlled Goods filings, and track Federal Firearms Licenses (FFL) and other regulatory registrations as applicable. Administer and maintain compliance‑related databases, tracking systems, and filing systems. Coordinate with Human Resources regarding procedures related to foreign national employees, temporary workers, visa documentation, and export‑control considerations. Maintain supplier compliance surveys and certifications related to customer and regulatory requirements, including human trafficking, anti‑bribery, conflict minerals, and similar compliance obligations. Review and maintain Powers of Attorney, customs‑related authorizations, and applicable expiration tracking. Assist in documenting, investigating, and coordinating potential export compliance issues, corrective actions, and voluntary disclosures when required. Collaborate with Operations, Sales, Procurement, Human Resources, Legal, and other departments to support export compliance activities. Coordinate with government agencies, customers, suppliers, and external auditors regarding export compliance matters. Perform other duties as assigned. Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and Experience U.S. citizenship or lawful permanent resident status (required for ITAR compliance). Bachelor’s degree in business administration, International Business, Legal Studies, Supply Chain, or a related field preferred. Three (3) or more years of experience supporting export compliance, trade compliance, contract administration, government contracting administration, or a related business function. Working knowledge of ITAR, EAR, export licensing processes, and export‑controlled information handling requirements. Experience completing customer questionnaires, maintaining regulatory registrations, and managing compliance documentation. Experience working within a manufacturing, aerospace, defense, or government contracting environment preferred. Knowledge, Skills and Abilities Strong organizational and administrative skills with attention to detail. Ability to interpret regulations and apply requirements to routine business activities. Excellent written and verbal communication skills. Ability to coordinate activities across multiple departments and stakeholders. Proficiency with Microsoft Office and electronic document management systems. Ability to manage multiple projects, deadlines, and compliance reporting requirements. Ability to maintain confidential and sensitive information. Certification in export compliance (e.g., CECP) is preferred but not required. Ability to recognize when specialized legal, cybersecurity, information technology, or regulatory expertise is required and appropriately elevate matters to designated subject‑matter experts. Physical & Mental Demands Must be able to work in a sitting position for extended periods of time in an office/industrial environment. Manual dexterity to perform data entry functions. Ability to bend, pull, stoop and reach to perform functions. Ability to lift 25-30 lbs. May be exposed to heat, fumes, noise, and humidity, etc. Must have the cognitive and mental capacity to perform essential job functions. Must be able to communicate effectively orally and in writing. Visual acuity to read documents, computer screens, files, etc. Ability to hear in person and via phone. While limited, some overnight travel may be required.
