Client Service Coordinator

Client Service Coordinator The Client Service Coordinator (CSC) drives the flow of clients and pets through the hospital, maximizes the productivity of the veterinary medical team, ensures effective communication with associates and clients, and coordinates the care of clients and pets in a friendly, efficient and welcoming manner. The CSC’s actions influence clients to return and refer others. Job Summary The CSC is responsible for recruiting new clients, managing client and pet flow, providing exceptional service, educating clients about Optimum Wellness Plans (OWPs), completing and maintaining client and pet documentation, handling finances, and performing administrative functions. The role requires multitasking, strong communication skills, and a positive attitude. Essential Responsibilities Live and exemplify the Five Principles of Mars, Inc. in personal and team conduct. Actively recruit new clients by promoting hospital services and route client and pet flow to ensure superior client care and maximum productivity. Maximize the number of pets seen by the hospital team through efficient operations, especially for wellness plan clients. Provide professional, efficient, and exceptional service at all times; welcome clients and pets, ensure comfort, and educate them about pet health. Educate clients about Optimum Wellness Plans, preventative care, pet health needs, and hospital services. Assist incoming clients by completing required documentation, entering pet information and history, using proper identification, and ensuring prompt service. Assist outgoing clients by providing instructions, information, invoices, dispensing prescription items, selling retail products, and scheduling future appointments. Manage finances by maintaining accurate balances and following opening and closing procedures. Perform other administrative and clinical support functions as necessary. HIRING QUALIFICATIONS Leadership : Customer Focus, Peer Relationships, Integrity & Trust, Action Oriented Functional : Preventative Care and OWPs, Communication Skills, Client Service Skills, Priority Setting, Time Management Capabilities and Experience (can do) : Ability to multi-task – manage multiple tasks accurately and efficiently. Communication Skills – fluent in English, with strong written and verbal abilities. Organizational Ability – systematic approach to assignments, cutting through confusion. Problem Solving Skills – identify, analyze, and provide practical solutions. Client Service Skills – consistently deliver attentive, courteous, and informative service. Intellectual Ability – follow instructions and convey directions clearly. Mathematical Ability – perform basic arithmetic, calculate rates, ratios, and percentages. Computer Skills – proficient with Microsoft Word, Excel, Access, Outlook and other specialized software. Initiative – use discretion to find solutions and propose process improvements. Integrity – adhere to Banfield’s values and ethics, exhibit honesty and sound judgment. Cooperativeness – collaborate, share information, and work well with others. Flexibility – adapt to changing situations and perform assigned tasks. Independence – work without supervision when required. Tolerance for Stress / Resiliency – maintain a positive outlook and composure under stress. Special Working Conditions Computer work for extended periods; confidence around pets of all species. Work may exceed 40 hours per week; includes weekends and evenings. Requirements for reading, writing, and speaking English; mental processes for reasoning, memory, mathematics, and language. Moderately high noise level; ambulatory duties with ability to lift or move up to 50 pounds. Hand‑eye coordination, dexterity, and visual acuity necessary for keyboard use and equipment operation. Exposure to various pets (possible bites or scratches) and occasional exposure to anesthesia, radiation, biological hazards, and controlled substances. Experience, Education, and Training High School Diploma or equivalent preferred. Minimum age 18 for duties involving radiography or exposure to radioactive substances. One year of related customer‑service experience; preferred medical background (veterinary technician, human healthcare, pharmaceutical, etc.) with medical terminology training.
