Job Overview The Specialist Campus PEIMS & Enrollment will perform a variety of advanced campus level assignments relating to student information focusing on students, attendance, enrollment, PEIMS reporting and data quality assurance. Essential Duties and Responsibilities PEIMS & Attendance Data Verification Work with the central administration SIS department and campus level administration to ensure that all attendance data and PEIMS reportable data meet requirements set by the Board, District, State and Federal policies. Assist in the collection and review of all data required for PEIMS and student attendance. Manage and ensure the accuracy of the Daily Attendance Percentage Report. Assist assigned and feeder campus personnel with data accuracy reporting as they pertain to local/state validation reports. Provide campus administration with weekly reports regarding data accuracy. Assist assigned and feeder campus attendance personnel with ensuring that the Student Attendance Accounting Handbook, Chapters 25 and 37, requirements are met. Assist assigned and feeder campus personnel with the reconciliation of First Day, 1st Six weeks and 4th Six weeks enrollment. Assist assigned and feeder campuses with the campus Data Verification process, including Six Weeks Attendance and PEIMS submissions and collections. Maintain positive working relationships with the principal, teachers, students, other school personnel, and parents. Report all PEIMS-related data inequities to administrators via weekly or biweekly mandated Data Integrity Team (DIT) meetings. Ensure that both assigned and feeder campuses submit their required data verifications and reconciliation documentation on time. Oversee and assist assigned and feeder campus personnel with PEIMS, enrollment and student attendance error corrections and data review per district approved software (i.e. Elevate Data Quality, OnDataSuite). Staff & Parental Communication/Customer Service Communicate with parents/guardians by phone and in‑person regarding enrollment, student attendance, truancy, and other student course credit issues. Return parent calls and emails frequently. Support campus processes by conducting mandated Data Integrity Team (DIT) meetings to discuss campus data discrepancies. Enrollment, Attendance & Truancy Assist assigned and feeder campus attendance personnel with the proper storage of reports, records, attendance notes, and other documentation for the District audit box. Work with other out‑of‑district personnel (i.e. CPS and probation officers) to verify attendance and prevent truancy. Assist assigned and feeder campus personnel in identifying students regarding excessive absences, tardiness, and possible prevention of denial of course credit. Assist assigned and feeder campus and district personnel with identifying attendance tier students and assist with completing the documentation for truancy filing. Assist assigned and feeder campus attendance personnel with manual and online attendance rosters as needed. Communicate and meet with students regarding attendance and/or truancy prevention measures. Assist with monitoring student attendance coding, including unverified absences. Assist with conducting district audits related to enrollment, leavers, and student attendance. Assist assigned and feeder campus enrollment personnel with the registration and enrollment process and documentation review/verification. Assist assigned and feeder campus personnel with POA and Dual renewal processes. Serve on with Summer Enrollment Team (if applicable). Training and Professional Development Present information to assigned campus personnel as changes in State or District standards occur. Attend regularly scheduled PEIMS/Enrollment/Attendance team, biweekly, semester and summer training and District meetings. Follow the FBISD Attendance Manual's guidelines for daily, weekly, six weeks, and semester attendance‑taking protocols. Follow the FBISD Enrollment Manual's guidelines for student enrollment, including ensuring required documentation is met. Attend district trainings and professional development to support HS Data Entry Clerks, registration and attendance personnel. District & Campus Support Assist other campuses with data irregularities to ensure overall accountability and success. Lead meetings and training sessions as required and needed. Ensure other support and professional staff are PEIMS, Enrollment & Attendance prepared. Participate in district and assigned, including feeder, School Campus Attendance Committee meetings. Support campus feeder pattern school staff who conduct PEIMS, Enrollment and Attendance duties and responsibilities. Respond to community and campus requests/inquiries regarding PEIMS, Enrollment and Attendance. Assist assigned and feeder campus personnel with any state/federal audit documentation requests. Supervisory Responsibilities None Qualifications High School diploma or GED Minimum of 60 hours of college credits preferred Texas Association of School Business Officials Certification (TASBO) Acquisition or evidence of courses towards TASBO certification preferred Minimum of 2 years experience in the area of school‑based, campus, clerical, attendance, registration, enrollment, and/or PEIMS reporting data Minimum of 2 years experience in the position as a school registrar, school data entry, school attendance clerk, or other school‑based data‑enriched position Minimum of 1 year experience with Skyward (SIS) preferred Demonstrated knowledge of PEIMS Data Standards and Student Attendance Accounting Handbook Working knowledge of Student Information Systems Strong computer skills including word processing, excel spreadsheets, and databases Proficient in all general office skills such as data entry and filing Ability to be highly organized, detail oriented and able to multi‑task Ability to maintain confidentiality Ability to work with a high degree of accuracy Ability to communicate effectively, both orally and in writing Strong interpersonal skills Highly organized and detail‑oriented Demonstrated knowledge of or able to comprehend and apply state reporting and state attendance laws Physical Requirements/Working Conditions The work environment characteristics and physical demands described here are representative of those an employee encounters while performing the essential functions of this job. May work prolonged or irregular hours and must be able to maintain emotional control under stress. Additional Information Travel from campus to campus within the district will be required.
