Practice Manager

The Practice Manager is the operational and people leader for Scott Family Orthodontics, partnering with Dr. Scott, the Regional Manager, and SALT Dental Partners to keep the practice running smoothly, support a positive team culture, and drive strong patient and business results. This is a hands‑on role that includes stepping in as a Treatment Coordinator (TC) or Patient Care Coordinator (PCC) when needed. Lead with positivity, professionalism, accountability, and Servant Leadership. Negativity, gossip, and complaining without solutions are not acceptable leadership behaviors. Be a visible champion of SALT Dental Partners and help the team understand and use the resources, tools, and support available through the partnership. Take operational work off Dr. Scott's plate so he can focus on patient care and treatment. Keep him appropriately informed, bring forward recommendations, obtain approval when needed, and then own execution and follow-through. Address routine coaching, accountability, and team concerns directly and promptly rather than defaulting people-management responsibilities to Dr. Scott. Key Responsibilities Know the business: monitor budget, production, revenue, starts, conversion, schedule utilization, labor, patient experience, expenses, and other key practice metrics; identify gaps and execute approved action plans. Support patient growth by coaching TC conversion and follow‑up, overseeing pending and observation patients, and supporting referral and local marketing efforts. Overseethe submission of insurance and AR process Maintain an exceptional patient experience and provide hands‑on TC/PCC coverage as needed, including consultations, scheduling, phones, patient communication, and front‑office support within role scope. Own patient scheduling and flow, including follow‑up on no‑shows, cancellations, unscheduled active patients, and schedule opportunities. Set clear expectations, conduct regular check‑ins and coaching conversations, recognize strong performance, address issues promptly, and partner with HR/Recruiting on hiring, onboarding, performance management, and retention. Prepare for and lead effective morning huddles and team meetings. Come prepared with the schedule, patient needs, production/start opportunities, staffing considerations, wins, and priorities so Dr. Scott can participate without carrying the operational preparation. Manage staffing schedules, PTO, sick‑call coverage, timecards, payroll‑related processes, and front/back‑office alignment. Own routine office and technology issues, including basic IT, phones, equipment, and systems; coordinate with SALT Support Services or vendors and follow through to resolution. Implement approved practice and SALT initiatives, policies, processes, and changes with clear, positive communication. Monitor controllable expenses and accounts receivable workflows and maintain appropriate cash‑handling, compliance, safety, HIPAA, OSHA, and employment standards. The Practice Manager leads practice operations and team management but does not direct clinical decision‑making. Dr. Scott remains involved in clinical matters and meaningful practice decisions, while the Practice Manager owns the operational execution of approved plans. Qualifications & Core Competencies Leadership or management experience in a patient‑facing environment; dental or orthodontic experience strongly preferred. Ability and willingness to understand and provide TC and PCC coverage as needed. Positive, solutions‑focused leadership style with strong communication, coaching, organization, and follow‑through. Comfort with business metrics, scheduling, labor management, budgets/P&L concepts, Microsoft Office, and practice software. High school diploma or equivalent required; relevant degree or equivalent leadership experience preferred. The practice performs well through strong scheduling, conversion, operational discipline, and consistent follow‑through. Patients receive an excellent experience from first contact through active treatment. Dr. Scott is informed and involved where appropriate while having the time and space to focus primarily on patient care and treatment.
