We are looking for a Front Desk Coordinator to serve as the welcoming face and central point of contact for our office. This Long-term Contract position is ideal for someone who enjoys helping people, staying organized, and creating a positive experience for visitors, callers, and community members seeking support. In this role, you will provide day-to-day administrative and front desk assistance while helping connect individuals with appropriate resources and internal departments.

Responsibilities:
• Welcome visitors warmly, answer questions, and create a welcoming and supportive front office environment.
• Handle incoming calls through a multi-line phone system, assess the purpose of each call, and route inquiries to the appropriate team members or departments.
• Coordinate and schedule appointments, maintain calendars, and help ensure smooth daily office flow.
• Process incoming and outgoing mail, organize deliveries, and support routine mailing and printing tasks as needed.
• Maintain accurate digital files and documents so records remain organized, accessible, and up to date.
• Monitor office supply levels and arrange restocking to keep front desk and administrative operations running efficiently.
• Assist community members who visit the office for application support by offering general guidance and connecting them with available resources.
• Provide front desk support related to WA Cares inquiries by directing individuals to the appropriate department for further assistance.
• Use Microsoft Office and Zendesk to document, track, and manage front desk and service-related activities.• Prior experience in a receptionist, front desk, customer service, or administrative support role.
• Ability to manage a high volume of inbound calls while maintaining professionalism and accuracy.
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
• Experience scheduling appointments, coordinating calendars, and handling general office tasks.
• Strong organizational skills with the ability to manage files, documents, and mail distribution efficiently.
• Comfortable learning and using systems such as Zendesk for communication and service support.
• Clear verbal and written communication skills with a courteous, helpful approach to visitors and callers.
