Project Specialist (SC - International Students)

SUMMARY DESCRIPTION

Under general supervision, the Project Specialist provides administrative and program support to the International Students Office. The position assists with the international student admissions process, responds to inquiries from current and prospective students and members of the public, provides front-desk and telephone support, assists with student records and documentation, and supports orientations, cultural activities, and other student events. The Project Specialist works collaboratively with college departments to provide responsive service to international students and supports the day-to-day operations of the office.

REPRESENTATIVE DUTIES

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

Greet and assist students, visitors, and members of the public at the front desk; provide information and assistance or refer individuals to the appropriate staff member or campus office.

Answer telephone calls and respond to email inquiries from current and prospective international students, applicants, and members of the public.

Provide general information regarding international student admissions, enrollment, college services, and office procedures.

Assist with processing international student applications and collecting, reviewing, organizing, and tracking required documentation in accordance with established procedures.

Assist with the preparation and distribution of immigration-related documents, including I-20 forms, under established procedures and the direction of appropriate staff.

Enter, update, and retrieve student information in college computer systems; maintain accurate and organized electronic and paper records.

Assist with monitoring application and documentation status and follow up on missing or incomplete information as directed.

Assist with scheduling and coordinating student orientations, cultural activities, workshops, and other international student programs and events.

Assist with event preparation, including room setup, materials preparation, registration, check-in, and related logistical activities.

Prepare and distribute flyers, emails, announcements, and other informational materials to promote programs, services, and events.

Communicate and coordinate with Admissions, Counseling, Student Services, and other campus departments to assist with international student needs and referrals.

Assist with preparing reports, correspondence, spreadsheets, forms, and other office materials.

Provide general administrative support, including filing, scanning, copying, data entry, and maintaining office supplies and materials.

Maintain confidentiality and handle student and other sensitive information in accordance with applicable policies and procedures.

Perform other related duties as assigned.

QUALIFICATIONS

Knowledge of:

Basic office practices, procedures, and customer service principles.

General college admissions, enrollment, and student support services, particularly those affecting international students.

Basic concepts related to international student admissions and immigration documentation; training will be provided.

Basic recordkeeping and data-entry practices.

Common computer applications, including word processing, spreadsheets, email, internet browsers, and electronic file management.

Professional telephone, email, and interpersonal communication practices.

Principles of confidentiality and appropriate handling of student information..

Skills and Abilities to:

Communicate clearly, professionally, and courteously in person, by telephone, and in writing.

Assist with the coordination and implementation of student programs, orientations, and events.
