From candidate intake and interview coordination to onboarding, timekeeping, invoicing, and contractor support, this position helps ensure both candidates and contractors receive a professional and efficient experience.This is an excellent opportunity for someone who is highly organized, comfortable working with multiple systems, and enjoys being the operational support that keeps a busy recruiting team on track.Required Qualifications✔ Strong attention to detail and organizational skills✔ Excellent written and verbal communication skills✔ Ability to manage multiple priorities in a fast-paced environment✔ Proficiency with Microsoft Office✔ Comfortable learning and working within Applicant Tracking Systems (ATS) and other recruiting technology✔ Strong follow-up skills and ability to maintain accurate documentation✔ Professional and confident communication when working with candidates and contractorsPreferred Qualifications⭐ Previous staffing, recruiting, HR, or administrative support experience⭐ Applicant Tracking System (ATS) experience⭐ Experience coordinating background checks and drug screenings⭐ DocuSign experience⭐ QuickBooks experience⭐ Experience supporting contractors or contingent workforce programsWhat You'll Be DoingCandidate Support & IntakeAnswer and screen incoming recruiting line callsAssist candidates throughout the application processGuide candidates through the Applicant Tracking System (ATS)Document candidate intake information accuratelyAssist with resume uploads and candidate recordsMaintain accurate and up-to-date ATS documentationRoute qualified candidates and recruiting needs to the appropriate recruiterInterview & Onboarding CoordinationCoordinate and schedule candidate interviewsConduct professional reference checksSchedule required background checks and drug screeningsAssist candidates with onboarding paperwork and required documentationSupport compliance documentation through QuickBooks and DocuSignTrack outstanding onboarding requirements and follow up to ensure timely completionTimekeeping OversightReview contractor time entries for accuracy and completenessIdentify discrepancies and make approved time adjustments when necessaryEscalate timekeeping concerns to recruitersSend weekly timekeeping reminders to active contractorsFollow up on missing or incomplete time submissionsInvoice & Billing SupportSend weekly invoice reminders to contractorsTrack missing and late invoicesFollow up directly with contractors regarding outstanding documentationNotify recruiters of recurring or unresolved invoice issuesMaintain organized records to support accurate and timely processingContractor Relations & RetentionProvide ongoing administrative support to active contractorsAssist with contractor questions and route issues to the appropriate team memberTrack contractor milestones and retention initiativesCoordinate and track appreciation packages for active contractorsHelp ensure contractors receive consistent communication and support throughout their assignmentsTechnical KnowledgeCandidates should be comfortable working with or learning:Applicant Tracking Systems (ATS)Microsoft OfficeQuickBooksDocuSignBackground Check & Drug Screening PlatformsElectronic Timekeeping SystemsCandidate & Contractor DatabasesRecruiting and Onboarding WorkflowsDocument Management & RecordkeepingInvoice TrackingCompliance DocumentationWhat Success Looks LikeThe ideal candidate is organized, responsive, and proactive.
