Senior Administrative AssistantWe are searching for the best talent for a Senior Administrative Assistant. This hybrid position will be in Horsham, PA.Per our J&J Flex Policy, the expectation for this position is to work in office 3-4 days per week and work from home 1-2 days per week.RESPONSIBILITIES:Provide day-to-day executive and team support to the Vice President, CAR-T and Director of Marketing, CAR-T, including management and prioritization of complex, frequently changing calendars; high-volume meeting requests; domestic and international travel; expense reports; meetings and events; vendors; and logistics across CAR-T and cross-functional partner teamsManage and organize files, records, communications, onboarding materials, organizational charts, SharePoint content, and departmental documents, including confidential and sensitive information related to leadership priorities, alliance interactions, commercial strategy, financial administration, and organizational mattersIndependently organize large internal department meetings and leadership forums, onsite or offsite; prepare and edit agendas, reports, presentations, meeting materials, and minutes; and coordinate inputs across internal and alliance-facing stakeholdersPerform diverse administrative and project-focused duties requiring independent judgment, prioritization, and clear written and verbal communication on behalf of the Vice President, Director of Marketing, and broader CAR-T leadership teamMaintain databases, general and department or division specific applicationsManage and follow up on the financial administration of the department including monitoring budget procedures, preparing expense reimbursements, monitoring contract administration and initiate/follow up on purchase orders.Act as a trusted point of contact for leadership, cross-functional departments, external contacts, vendors, and alliance-related coordination, ensuring timely follow-through, appropriate information handling, and clear communicationParticipate in administrative, departmental, cross-functional, and campus-wide projects, workgroups, or committees that optimize processes and team operationsStay informed of company policies, procedures, guidelines, administrative systems, and business processes relevant to the department; provide guidance and timely reminders to staff; and pursue tools or professional development that strengthen executive support, team effectiveness, and operating disciplineAdditional responsibilities may include the following:Maintain and organize the department SharePoint site, Teams channels, and shared resources to support efficient access to information and consistent team operationsProofread documents and texts with regard to contentQUALIFICATIONSHigh School diploma or equivalent is required; Associate's degree or Bachelor's degree is preferredMinimum of 6 years' administrative support experience required; experience supporting vice presidents, directors, complex teams, or matrixed commercial organizations preferredKnowledge of contract administrationHighly organized, with strong attention to detail and accuracy and the ability to establish, manage, and revise priorities while handling multiple time-sensitive responsibilitiesAbility to take initiative, work independently with minimal supervision, adapt to shifting priorities, and respond resourcefully to unforeseen circumstances and complex problems in a fast-paced environmentAdvanced computer skills including extensive knowledge of Office applications and organization specific softwareDemonstrated ability to maintain confidentiality, apply discretion, and handle sensitive business, personnel, financial, alliance-related, and leadership information professionallyStrong interpersonal, verbal, written, and multitasking communication skills, with the professionalism to communicate on behalf of senior leaders and collaborate effectively with supported teams and the broader administrative communityThis job posting is anticipated to close on 9/4/2026.This position is overtime eligible.Johnson & Johnson is an Equal Opportunity Employer.
