Clinic Manager - Pediatrics Central Administration

Position Summary Scheduled Hours: 40 hours per week. The Department of Pediatrics at WashU Medicine is seeking a manager to oversee ambulatory operations and both clinical and non-clinical staff for one of its divisions. This pivotal role will oversee clinical and administrative staff while supporting patient care initiatives in collaboration with ambulatory clinic personnel and with guidance from the Clinical Director. This role supports patient care and procedures performed at St. Louis Children’s Hospital and other clinic locations. This position is responsible for identifying and implementing best business practices, serving as the prime communicator of division level information, and is the point of contact for the Clinical Director. Primary Duties & Responsibilities Maintain high levels of employee and patient satisfaction. Provide direction and assistance in resolving issues and complaints by physicians, patients, staff, and referring physician offices. Coordinate patient services, ensuring safe, quality care is provided efficiently and cost‑effectively. Work with the Division Chief, ambulatory leadership, and peers on daily, monthly, quarterly, and annual planning to optimize the division and innovate solutions. Review provider and staff productivity and metrics. Monitor supplies and equipment, ordering/repairing as required to ensure quality of care and operational standards, cost‑effectively. Manage clinical, administrative, and medical assistant support staff. Duties include hiring, training, managing, mentoring, evaluating and terminating as appropriate. Support clinical operations within the division, aligning with Division to follow University and Department standards. Implement and maintain office procedure manuals. Responsible for collecting and maintaining records pertaining to the division’s CQI activities and patient satisfaction data. Work closely with leadership to enforce policies/procedures and quality control indicators through quality assurance and risk management programs. Maintain compliance with existing policies and procedures. Other duties as assigned. Decision Making and Impact Responsible for all aspects of clinical operations for the division in tandem with the Division Chief and reporting to the Clinical Director. Financial and Operational Impact Responsible for all financial expenditure within the division, supporting good financial stewardship and resource optimization. Contacts Internal: WUSTL Leadership, various clinical and research staff. External: Patients, families, outside collaborative organizations. Supervision: Clinical and administrative support staff. Reports To: Clinical Director. Working Conditions Normal clinic and administrative office setting with some pressure from work deadlines. Position performed in person. Physical Effort Typically sitting at a desk or table. Equipment Office equipment. Education Bachelor’s degree or combination of education and/or experience may substitute for minimum education. Certifications / Professional Licenses Basic Life Support – American Heart Association, Basic Life Support – American Red Cross. Work Experience Clinical Office – 5 years. Skills Not Applicable. Driver's License A driver's license is not required for this position. Preferred Qualifications Expert knowledge of Epic is highly desired. Demonstrated people management capabilities combined with deep knowledge of clinical workflows and supporting processes. Experience with patient safety and quality initiatives, data‑driven decision making, and effective communication skills. Exceptional professional judgement along with experience with daily, clinical ambulatory operations including overseeing staff and physician schedules, and leveraging clinical metrics to drive improvements. Demonstrated success managing varying levels of staff in an academic healthcare setting. Master’s degree. Grade C13 Salary Range $68,100.00 – $105,500.00 per annum.
