Position Summary:
The Shipping and Receiving Clerk is responsible for the efficient operation of the district's central receiving and storeroom functions. This position receives, inspects, organizes, stores, inventories, and distributes materials, supplies, equipment, curriculum resources, and custodial products delivered to the district's central receiving location.
The Shipping and Receiving Clerk maintains accurate inventory records using the district's inventory management system, fulfills requests for materials from District buildings and departments, coordinates the distribution of supplies throughout the District, and ensures that the central storeroom is maintained in a safe, organized, and accessible manner. The position also operates a forklift and other material-handling equipment as needed

Essential Functions:
Central Receiving and Shipping

• Receive deliveries at the District's central receiving location.
• Inspect shipments for accuracy, quantity, visible damage, and conformity with purchase orders or delivery documentation.
• Verify received materials and supplies and report discrepancies, shortages, damages, or incorrect shipments to the appropriate personnel.
• Unload and safely move deliveries using hand trucks, carts, pallet jacks, forklifts, and other appropriate equipment.
• Organize incoming materials for storage or distribution to District buildings and departments.
• Prepare materials and supplies for shipment or delivery to District locations as needed.
• Maintain appropriate receiving documentation and records.
• Coordinate with vendors, carriers, District departments, and building personnel regarding deliveries and distribution.

Storeroom and Inventory Management

• Maintain the District's central storeroom in a clean, orderly, safe, and efficient manner.
• Organize materials and supplies to maximize available storage space and facilitate efficient retrieval.
• Maintain inventory of curriculum materials, instructional supplies, custodial products, office supplies, equipment, and other District materials.
• Use the District's inventory management system to record receipts, issues, transfers, quantities, locations, and other inventory information.
• Monitor inventory levels and identify items requiring replenishment.
• Process requests for materials and supplies from District employees, buildings, and departments.
• Locate, retrieve, and distribute requested materials in a timely manner.
• Maintain accurate records of materials issued to District buildings and departments.
• Assist with periodic inventory counts, reconciliation, and identification of discrepancies.
• Identify obsolete, damaged, excess, or surplus materials and notify the appropriate supervisor.
• Assist with the organization and disposition of surplus materials and equipment in accordance with District procedures.

Distribution

• Sort and prepare materials for delivery to District buildings and departments.
• Distribute supplies, curriculum materials, custodial products, and other requested items throughout the District.
• Ensure that materials are delivered to the appropriate building, department, or employee.
• Obtain appropriate documentation or electronic confirmation for materials issued or delivered when required.
• Prioritize distribution requests based on established District procedures and operational needs.

Equipment and Safety

• Operate forklifts, pallet jacks, hand trucks, carts, and other material-handling equipment safely and appropriately.
• Perform routine inspections of forklifts and other equipment and report maintenance or safety concerns.
• Follow all applicable District safety procedures and manufacturer guidelines when operating equipment.
• Safely handle, store, and distribute custodial products and other materials in accordance with applicable safety requirements.
• Maintain clear aisles, accessible exits, appropriate storage practices, and a safe working environment within the storeroom and receiving areas.
• Use appropriate personal protective equipment when required.
• Report unsafe conditions, damaged equipment, spills, accidents, or injuries promptly to the appropriate supervisor.

Computer and Administrative Responsibilities

• Perform basic computer and data-entry functions.
• Utilize the District's inventory management system to enter, update, track, and retrieve inventory information.
• Maintain accurate electronic and/or paper records related to receiving, inventory, distribution, and shipping.
• Use email and other District-approved technology to communicate with staff, vendors, and departments.
• Generate or access inventory reports as needed.
• Assist with purchase order, receiving, and inventory documentation.

Other Duties:

• Assist with special projects involving District-wide materials, supplies, equipment, or inventory.
• Assist in reorganizing storage areas and preparing materials for the beginning or end of the school year.
• Assist with the receipt and distribution of instructional and curriculum materials.
• Assist with deliveries, relocations, and movement of District equipment and supplies as directed.
• Perform other duties as assigned by the supervisor.

Skills, Experience and Education:

• High school diploma or equivalent
• Previous experience in shipping, receiving, warehouse operations, inventory control, or storeroom management preferred
• Experience using computerized inventory management system preferred
• Previous experience operating a forklift preferred
• Ability to perform basic computer and data-entry functions.
• Ability to learn and effectively use an inventory management system.
• Ability to safely lift, carry, push, and move materials and supplies commonly found in a school district storeroom and receiving operation.
• Ability to organize materials and maintain accurate inventory records
• Ability to maintain confidentiality when handling District records or information.
• Ability to follow written and verbal instructions.
• Ability to work independently and prioritize multiple tasks.
• Ability to communicate effectively and maintain positive working relationships with District employees, vendors, delivery personnel, and the public.
• Ability to operate a forklift safely or obtain required forklift training/certification within a specified period of employment.
• Act 34, 151 and FBI clearances required upon employment
