Job Description Summary The Program Coordinator II is responsible for providing technical and professional services to the National Crime Victims Research and Treatment Center through direct involvement in research, administrative and supportive duties within the division, with primary focus on a large scale, multi-site research project. The incumbent’s responsibilities will include recruiting and screening of research participants, collecting data, creating and managing complex databases, scheduling and conducting stakeholder interviews, scheduling meetings, recording meeting minutes, assisting in coordination and logistics for four community advisory boards, and assisting in preparation of project required reports and manuscripts for publication. The incumbent’s responsibilities also include maintaining a project specific website and related online courses. The PCII independently coordinates day-to-day project activities, identifies and assists in resolving barriers to meeting program goals, exercises independent judgment in prioritizing project tasks and timelines, and corresponds with project partners, consultants, and stakeholders to facilitate completion of all program activities. The incumbent will also coordinate travel for the Co-PIs when applicable and assist with travel and logistics for annual project meetings. S/he also will be responsible for project-related purchasing and engage in additional administrative duties assigned by the Co-PIs. The PCII is an integral team member to ensure that all required tasks are completed in a timely manner. The position is primarily in person but may allow for 1-2 days remote work as appropriate after one year. The position does require occasional after hours and weekend work, and occasional travel. This also includes screening for eligibility. The PCII will also obtain and document consent, ensure completion of assessment measures across all time points, and manage and process active participant incentives and payments. 20% : The PCII independently monitors project progress, identifies data collection or reporting issues, recommends solutions to the Co-PIs, and prioritizes activities to ensure compliance with study timelines and funding agency requirements. This includes responsibility for developing, monitoring, and maintaining project-related databases. This also includes cleaning and preparing data for SPSS and running preliminary analyses. The PCII is also responsible for assisting in the creation of regular, required data reports to share with the funder, creating data visualizations to translate findings for stakeholders, as well as assisting in the writing and submitting of reports within the time period set by the funding agency. 15% : The PCII coordinates logistics for project-related meetings, including scheduling participants, preparing agendas and meeting materials, recording minutes, distributing summaries, tracking action items, and following up to ensure completion of assigned tasks. The incumbent serves as a liaison among investigators, community advisory board members, consultants, and study staff to facilitate communication and maintain project momentum. 15% : The PCII will independently coordinate the project training activities, including participant call schedules, maintenance of attendance records, inquiries from training participants, scheduling of make-up sessions, and communication to participants on a routine basis. The incumbent develops and maintains the database used to track completion metrics for all training activities. The PCII identifies participation or scheduling issues, collaborates with the Co-PIs to implement appropriate solutions, and helps ensure all project training activities are completed in accordance with protocols and funding requirements. 10% : The PCII assists in the refinement, maintenance, and updating of the project website and asynchronous online learning modules. Responsibilities include coordinating content updates, monitoring user access, troubleshooting basic issues, and ensuring project materials remain current and accessible for participating providers and stakeholders. 10%: The PCII independently coordinates the administrative operations necessary to support successful project implementation and ensure compliance with division, institutional, and funding agency requirements. Responsibilities include procuring project-related supplies, coordinating travel and logistics for staff, off-site investigators, consultants, and project meetings, maintaining project documentation, and monitoring project timelines and deliverables. The incumbent identifies potential operational barriers, collaborates with the Co-PIs to implement solutions, and assists in ensuring project activities are completed on schedule and in accordance with established goals and objectives. 5% : The PCII assists with monitoring project expenditures, reconciling budget reports, and reviewing expenses for compliance with funding agency and institutional policies. The incumbent provides expenditure summaries to the Co-PIs and alerts project leadership to potential budget concerns. Preferred Training & Experience Master’s level degree in program evaluation, statistics, public health, psychology or related field is preferred. Experience in data collection, data entry, data management, data manipulation, data analysis, and report writing. Ability to prepare and present reports communicating the results of data analysis. Proficiency in Word, Excel, and PowerPoint is required. Knowledge and experience in SPSS and CANVA is preferred. Knowledge and experience with Site Executive, RedCap, SurveyMonkey, as well as other survey software is preferred. Experience in developing and maintaining websites is preferred. Personable with good organizational, problem solving and analytical skills. Ability to communicate effectively, both orally and in writing. Ability to provide technical assistance and training to staff and other participating partners. Ability to plan and organize work activities and prioritize task completion according to schedules and goals. Ability to exercise judgment and discretion in interpreting and applying policies and procedures. A strong work ethic. Minimal supervision; must be able to work independently.
