Job Description Summary This role supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent, fees and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report on all financial workings of the community. *Potential for Bonus* Job Description Complete daily financial operations, including collecting and posting rent, fees, and other payments, preparing daily bank deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables. Operate the property management software (Yardi/OneSite), entering required fields accurately and ensuring system integrity through updates and backups. Review resident files and accounting records to identify unpaid or late fees, communicate with residents about outstanding balances, enforce collection procedures, and enforce lease terms to maximize revenue. Review and submit vendor, contractor, and service provider invoices for payment by reconciling work performed, obtaining Community Manager approval, coding charges to the appropriate chart of accounts, and managing communication among vendor, accounting, and client/owner. Follow company evictions procedures, providing proper notice, executing evictions, and representing the community in court hearings. Process resident move‑outs, reviewing lease terms and notice requirements, applying applicable deposit and lease cancellation fees, and processing dispositions per established procedures and legal requirements. Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner and taking appropriate action to resolve service issues. Act as on‑site supervisor in the absence of the Community Manager, organizing and delegating daily work, coordinating maintenance and make‑ready tasks, and managing operations in compliance with company policies, procedures, and business practices. Assist in managing the client/owner relationship by meeting with owners, conducting community tours, providing performance updates, and responding to owner requests. Support leasing and marketing efforts by greeting prospective residents, gathering prospect information via the Guest Card, showing ready apartments and models, closing leases and obtaining deposit, and assisting with rental applications and credit verification. For California only: review all completed move‑in files prior to submission to the Community Manager for review and approval. Basic Knowledge & Qualifications Bachelor’s degree in Business Management, Communications, or related field from an accredited college or university. 1–3 years minimum of relevant experience in residence life and/or property management that demonstrates community management, sales, marketing, and customer‑service background sufficient to assist in managing day‑to‑day operations, resolving complaints, completing financial records, increasing sales revenues, and coordinating team work. Understanding of lease terms and lease enforcement, including collections. Excellent written and verbal communication skills. Detail‑oriented and self‑motivated with the ability to work independently and collaboratively. Specialized Skills All required licenses and/or certifications as required by state and local jurisdictions. Valid driver’s license for operating a golf cart on property. Proficiency in Internet, word processing, spreadsheet, and database management programs to complete reports and documents. Strong proficiency in using property management software (Yardi, OneSite, Entrata, etc.). Travel / Physical Demands Work in an office environment with exposure to outdoor elements; must be able to access all exterior and interior parts of the property. Lift, carry, or maneuver weights up to twenty (20) pounds independently and fifty (50) pounds with assistance. Routine local travel for bank deposits, training, or other situational needs. Rare or occasional travel for business meetings, training, or other responsibilities. The hourly range for this position is $33.65 - 36.05. Additional Compensation Corporate Positions: may be eligible to participate in a quarterly or annual bonus program based on individual and company performance. On‑site Property Positions: may be eligible to participate in weekly, monthly, and/or quarterly bonus programs.
