The Work You Will Do:
This is a responsible, varied and complex administrative position that performs a wide range of administrative and clerical duties on the Regulatory Support Team (RST). This position works as a primary support resource for Business Planning, Compliance Assistance Program and the Permitting Program, including the 404. It also serves as a back-up resource for the Gateway Team and the Marathon Branch Office. This position supports the objectives of the Department's Outreach Strategies and assists as required. In carrying out the duties of this position, the incumbent is expected at all times to be aware of and abide by the Department's Standards of Conduct (DEP 435), as well as any other departmental or work unit rules, directives, policies, procedures applicable to performing the duties of this position. The incumbent is expected to work with and apply the principles of Continuous Improvement to reduce waste, improve processes and provide services that add value for all customers. This position is a position of trust.

Where You Will Work:
South District - The South District Office is located in Fort Myers. Fort Myers is popular for its great beaches that line the Gulf Coast, shopping and fishing. Attractions include the historic Henry Ford and Thomas Edison estates, downtown Fort Myers, with its many restaurants and nightlife, as well as nearby Naples and the islands of Captiva and Sanibel. It is a sports enthusiast haven as the Spring Training home of the Boston Red Sox and Minnesota Twins. The South District covers 8 counties (Lee, Collier, Charlotte, DeSoto, Sarasota, Hendry, Glades and Highlands).

Your Specific Responsibilities:
Business Planning Support
Works closely and cooperatively with other members of the Support and Administrative Professionals (SNAP) Team to ensure consistent and appropriate document handling and finalization, database updates and timely response to public information requests. Shadow other SNAP team members and gain proficiency in other aspects of the application processing. Maintains proficiency on all Regulatory Support activities and processes. Provides primary reception area coverage by professionally answering, screening and routing incoming telephone calls, greets and interfaces with customers, provides information to the public, processes incoming mail, logs payments and issues receipts. Responsible for handling incoming and outgoing correspondence for the Fort Myers office. Operates multi-function office machines and large-scale scanners, pre-indexes and uploads records into OCULUS. Maintains overall familiarity with equipment associated with SNAP activities including assisting with the maintenance and servicing needs (i.e. toner replacements, postage meter updates, etc.). Support and assists in IT activities. Serves as backup for mailroom activities, including maintaining records and supplies for Pitney Bowes postage machine. Conducts outreach, as required, with regulated communities to identify opportunities for process clarification and instructs applicants on the use of DEP web-based services and paperless initiatives. Trains other team members when required. Works proactively to develop streamlined processing opportunities and works cooperatively to enhance SNAP's support for the South District. Assist with procurement processes, logistics and outreach support. Assist with managing the District's fleet to include addressing user and operational concerns, ongoing maintenance, monthly FLIM updates and responding to fleet data requests from various internal and external customers. Assists with CRA responsibilities and revising/deleting of Oculus records.
Permitting Program Support
As a member of SNAP, provides administrative support by handling information requests, assisting customers and performs administrative and clerical functions such as arranging conference calls, scheduling meetings, processing incoming applications, including the 404, and files in the various folders (i.e. 1, 3, 5 & 8) and performs database updates. Specifically, provides administrative and clerical support per instructions for complex actions of the regulatory programs including: scanning incoming correspondence; preparing out-going correspondence to be handled by the Centralized Mail System; processing various regulatory applications and documents; prepares auto-letters; wetland determinations; sending and receiving emails and FAX communications; performs error-free updates and conducts research in various databases as required; provides information to the public when requested; and coordinates these activities with other clerical and professional staff to promote efficiency and streamlined workflow within the team setting. Establishes and maintains e-files for the South District. Enters and new applications and other information in the various e-folders and databases. Scans and copies applications and sends applications to appropriate agencies, maintains mailing lists, creates and accurately maintains e-folders and files and performs filing/e-filing as required. Assists in maintaining files and folders for commenting agencies. Assists in maintaining hard copy and scanned records of applications, forms, documents, correspondence and other similar items received by and created within the South District. Assists in maintaining a cross-reference system so files and folders are easily located according either to subject, location, applicant or file number.
Compliance Assistance Program Support
Assists with coordinating compliance activities for the South District, specifically enters data in the Complaint Tracker, scans and routes Monthly Operating Reports (MORs) and Discharge Monitoring reports (DMRs) to the appropriate e-mail boxes and staff and processes out-going correspondence as required.
Performs other duties as assigned.
Required Knowledge, Skills, and Abilities:

Ability to orderly compile and analyze data for use in decision making and process improvements. 7. Ability to perform basic mathematical calculations. 8. Skilled in the use of Outlook, Microsoft Word, Excel and PowerPoint programs to complete assignments, communicate with coworkers and produce work products that meets customer expectations. 9. Ability to support and assist in IT activities. 10. Ability to follow general office procedures, guidelines, policies and practices. 11. Ability to operate general office equipment (i.e. multi-function copier, VOIP phones, postage meters, large scale scanners, hands-free headsets, personal computer, laptop, etc.). 12. Ability to accurately prepare written correspondence using standardized business formats, correct spelling, proper punctuation and grammar usage. 13. Ability to effectively communicate verbally and in writing. 14. Ability to function as receptionist, telephone operator and greeter 15. Ability to communicate and interact with the public and others in a courteous, productive and tactful manner. 16. Ability to establish and maintain effective working relationships with others. 17. Ability to work independently or in a team setting in an efficient and effective manner. 18. Ability to travel and maintain a valid Florida Driver's license. 19. Able to lift items weighing up to 20 pounds (i.e. hard copy records, computers, monitors, etc.) 20. Ability to obtain and pass a Background and Fingerprint CheckRequired or Preferred Qualifications
- Associate degree from an accredited college or university; or any combination of post-secondary education or verifiable related experience, for a total of two years.
- Knowledge of Continuous Process Improvement and LEAN methodologies
- Skilled in Web Management
- Skilled in the use of Access
- Multilingual in English and Spanish, Creole or German
Minimum Qualifications:
- Valid Driver License.
- Travel may be required, including overnight.
- The ability to successfully complete a Level 2 State and National criminal history background check.
