Job Description

Position Summary

The Office Services Associate, Reprography and Mail Specialist supports the day-to-day delivery of reprographics, mail, shipping, and document services within a professional corporate environment. This role is responsible for ensuring the timely, accurate, and efficient execution of office services requests while maintaining exceptional quality standards, operational readiness, and exceptional service for employees, clients, and visitors.

Key Responsibilities Reprographics & Document Services

• Produce, prepare, and quality-check printing, copying, scanning, binding, finishing, and document production requests in accordance with established service standards.
• Prioritize workflow, manage job tickets, and ensure all work is completed accurately and within required deadlines.
• Maintain reprographics equipment, replenish paper and supplies, troubleshoot routine issues, and escalate service concerns as needed.
• Support digital document management, records processing, and related administrative services.

Mailroom & Distribution Services

• Process incoming and outgoing mail, packages, courier deliveries, and shipping requests in a timely and accurate manner.
• Coordinate mail distribution, package tracking, and delivery services while maintaining appropriate logs and records.
• Support inventory management and replenishment of mailroom, shipping, and office services supplies.
• Partner with vendors and couriers to ensure efficient service delivery and issue resolution.

Office Services Operations & Service Excellence

• Respond to service requests, inquiries, and workplace support needs while maintaining high standards of customer service and professionalism.
• Monitor operational workflows, identify process improvement opportunities, and support business continuity across office services functions.
• Conduct quality assurance reviews to ensure accuracy, consistency, and adherence to service expectations.
• Maintain compliance with company policies, client requirements, confidentiality standards, and operational procedures.

Qualifications

• High school diploma or equivalent required.
• 1+ years of experience in reprographics, mail services, office services, records management, or administrative support within a corporate or professional services environment.
• Strong customer service, communication, organizational, and problem-solving skills with the ability to manage competing priorities and deadlines.
• Proficient in Microsoft Office and workplace technology tools; experience with print production, mail, shipping, or digital document systems preferred.
• Detail-oriented with a commitment to accuracy, quality control, and service excellence.
• Ability to work independently and collaboratively, follow established procedures, and communicate effectively with workplace teams.
• Ability to lift and transport materials up to 50 pounds and perform duties requiring extended periods of standing, walking, bending, and movement throughout the workplace.

Additional Information

The salary range for this role at the noted RRD location is $16.59 - $22.50 / hour. Starting pay decisions are determined based on multiple factors including but not limited to relevant education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and other business needs. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call-in, and/or stand-by pay.
