AP/AR Assistant – Matthews Buses, Inc.

Matthews Buses, Inc., one of the nation’s largest school bus dealers has an opening for an Accounting Assistant at our Ballston Spa location.

Responsibilities:

• Knowledge of computer and software programs (Excel, Word, Procede) to perform jobs daily.
• Review invoices for payments and documentation. Get approval prior to payment.
• Code and key straight payables
• Process check request, match invoices to checks, obtain all signatures for checks and distribute accordingly
• Develop a strong relationship with vendors and be attentive to all vendor requests and inquiries
• Reconcile vendor statements, and correct any discrepancies
• Print, audit, and process credit cards on a monthly basis
• Maintain vendors W-9 and COI
• Maintain 1099 forms
• Generate accounting statements and reports
• Research cash receipts, coding and posting of receipts
• Prepares daily electronic bank deposits
• Collections for receivables
• Maintain files and documentation thoroughly and accurately in accordance with company policy and accounting practices
• Assist in month end closing if needed
• Operates office equipment, copiers, postage machine, and 10-key calculator
• Answering phones as needed

Qualifications:

• Associates degree in accounting/business preferred
• Previous experience in billing, finance, or other related fields
• Experience in data entry
• Knowledge of standard accounting procedures
• Ability to prioritize and multitask
• Ability to work independently or as a team
• Ability to communicate effectively (verbally and in writing)
• Must be professional at all times
• Must have reliable transportation
• Adhere to company policies at all times
