About the Role

Judit Inc. is building its remote Medical Support Assistant team to support the VA Office of Community Care. MSAs coordinate and schedule Veteran appointments, process community care referrals, and serve as the first point of contact for Veterans navigating VA and community care services — all from a remote, non-VA-owned workspace within commuting distance of the facility above.

What You'll Do

• Perform outpatient appointment scheduling, tracking, and pre-/post-appointment contacts in accordance with VHA scheduling policy (Directive 1230) and consult management policy (Directive 1232).
• Process Community Care consults through HealthShare Referral Manager (HSRM) and the Provider Profile Management System (PPMS).
• Coordinate and authorize Veteran care with community providers when VA cannot supply timely care.
• Answer and screen inbound calls within 5 rings; route callers to the appropriate nurse, provider, or social worker.
• Continuously validate and update patient demographics — phone, address, next of kin, emergency contact, and insurance information.
• Process incoming health/administrative records into CPRS and VistA.
• Open and close clinics daily; update no-shows within 24 hours; monitor incoming/outgoing faxes and mail in accordance with HIPAA.
• Support the assigned Patient Aligned Care Team; complete an average minimum of 20 cases per day (or as otherwise assigned).
• Retrieve and respond to voicemail within 48 business hours.
• Use CPRS, VistA, Consult Tracking Manager (CTM), VetLink, HSRM, PPMS, ISS/VSE, and Microsoft Office (Word, Excel, Outlook, Teams) daily.

What You'll Need

• U.S. resident
• High school diploma or GED
• Oral and written proficiency in English
• Basic computer skills; minimum typing speed of 50 WPM
• Basic knowledge of medical terminology
• Minimum 6 months of customer service experience
• No health or physical restriction that would interfere with performance of assigned duties

Before You Start

• Pass a Tier 1 / Low Risk (NACI-level) background investigation and complete fingerprinting
• Complete VA Privacy, HIPAA, and Cyber Security Awareness training and sign the VA Rules of Behavior before system access is granted
• Complete up to two weeks of government-provided scheduling system training (delivered online where in-person isn't available; no travel authorized or reimbursed)
• Provide proof of a current negative TB test (TST or IGRA), MMR and Varicella immunity, one dose of Tdap, and annual influenza vaccination (or wear a mask during flu season if medically contraindicated)

This position is contingent upon Judit Inc.'s award of the referenced VA contract.
