Inventory Coordinator

Hiring Range: $61396.00 to $99769.00 Full Time or Part Time: Full_Time Additional Detail Description for Candidates: To provide on-going statewide support of the Automated Fuel Management Program, the Inventory Management System, and the Financial Management System and their users by providing analysis and recommendations on systems design, operations, and training. How you will contribute: Fuel Oversight: Act as the Fiscal Division's Fuel statewide Daily Contact Personnel. Communicate directly with VDOT's statewide Fuel Coordinators and Maintenance Division's State Fuel Manager to provide expedient and efficient assistance in resolving any out of tolerance sites. Perform reviews on all statewide fuel locations. Inventory Management Systems Helpdesk: Act as a help desk for IMS system and transaction problems as well as policy interpretations to users statewide. Act as the Central Office IMS Daily Contact Personnel and communicate directly with VDOT's statewide IMS users and IT Division (ITD) Data Processing Personnel to provide services in maintaining the Daily Operations of the computerized statewide inventory. Maintain documentation and ITD forms referencing all system fixes and enhancements and keep and up-to-date system priority list. Coordinate system interrupts and modifications with users. Inventory and Financial Management System Reconciliation: Perform reconciliations and submit results to IMS System Administrator for final review and submission to the Assistant Controller and Controller. Ensure analysis of statewide cost centers are performed and proper charges are made to IMS expenditures. Resolve any problems found with District Inventory Analyst and District Asset and Inventory Managers. Perform journal vouchers for corrections needed. Receive, review, and conduct analysis of statewide inventory. Procedures Manual Maintenance: Update the inventory manuals with needed changes and changes requested by the Controller and Assistant Controller. Oversee the production of the updated manual and ensure it is posted to the proper servers and the VDOT portal. System Resolution: Independently analyze, document, and resolve requests and problems. Communicate problems and corrections to the IMS IT developer. Elevate issues involving overall system irregularities to the Unit Manager for further review and resolution. Provide critical testing and debugging of IMS program changes and enhancements prior to statewide deployment and distribution. Training: Manage the development of various statewide IMS training materials for use by the Statewide District Inventory Analyst, District Asset and Inventory Mangers. Work with the Learning Center to ensure the online training integrity is maintained. Consult with statewide District Inventory Analysts and the statewide District Asset and Inventory Mangers for district training needs and oversee the development of the needed training. Minimum Qualifications: Ability to communicate effectively both orally and in writing with customers. Ability to operate and maintain Inventory Management Systems or Financial Management Systems and subsystems. Ability to plan, prioritize, and manage multiple projects. Ability to research and isolate system problems. Knowledge of Generally Accepted Accounting Principles (GAAP). Skill in advanced spreadsheet formulas and analysis Additional Considerations: A combination of training, experience, or education in Business or related field desired. Accounting licensure such as CGFM, CPA, or CMA. Experience in inventory analysis and reporting. Experience in inventory audit or management fields.
