Business Operations Manager

The Business Operations Manager, Marketing & Communications, ensures the department has the systems, processes, and discipline it needs to run reliably and scale. This role translates strategic priorities into sustainable operational processes by overseeing budgeting, financial reporting, contracts, procurement, sponsorships, vendor management, technology administration, and department-wide operating standards.

Acting as a trusted partner to Marketing & Communications leadership, the Manager, Business Operations provides transparency, accountability, and operational discipline that enable the team to focus on strategic planning, brand management, communications, and campaign execution.

The position does not own marketing strategy, creative development, or channel execution. Instead, it ensures the department is operationally sound, financially responsible, goal oriented and positioned to scale.

This is a remote position. Applicants must reside in one of the following states: Alabama, Colorado, Delaware, the District of Columbia, Florida, Georgia, Illinois, Maryland, Missouri, New Jersey, New York, North Carolina, Ohio, Pennsylvania, South Carolina, Tennessee, Texas, and Virginia.

Essential Functions

• Budget & Financial Management

  • Develop and manage the annual MarCom budget, including forecasting, actuals tracking, variance analysis, and reallocation in alignment with priorities.

  • Own purchase orders, invoicing, and the working relationship with the finance department.

  • Produce financial reporting including spend, cost-per-outcome, and ROI by program.

• Contract & Vendor Management

  • Manage the full contract lifecycle including review, execution, renewal tracking, and compliance.

  • Own vendor relations and performance management across all MarCom partners, ensuring deliverables and value are met.

  • Manage sponsorship agreements, deliverables, and tracking.

• Operational Infrastructure

  • Build and maintain operational infrastructure including file storage systems, shared drives, naming conventions, and documentation standards.

  • Design and implement onboarding process to ensure each team member is trained on appropriate tools and processes.

  • Partner in managing the martech stack and software licensing, ensuring tools are utilized and right-sized.

  • Support retreat and offsite planning including materials preparation, vendor coordination and associated logistics.

• Operational Reporting & Governance

  • Maintain department-wide operational reporting and standards that support transparency and accountability.

  • Partner with analytics to ensure visibility on measures of success and annual goal progress.

  • Partner with marketing and communications leadership to support the development of annual goals.

  • Establish and reinforce operational policies, process documentation, and templates that enable the team to scale.

Requirements

• Bachelor's degree in Business Administration, Finance, Marketing, or a related field. Master's degree preferred.

• 5-8 years of experience in business operations, finance, procurement, project management, marketing operations, or related functions.

• Experience managing departmental budgets, contracts, and vendor relationships.

• Experience developing operational processes, governance frameworks, and reporting structures.

• Demonstrated success working across multiple stakeholders in a matrixed environment.

• Strong organizational, analytical, and process-design skills.

• Comfort building operational systems and infrastructure from the ground up.
