Job Title: Shipping, Fulfillment & Logistics Specialist (Part-Time)

Location: On-site

Employment Type: Part-Time (4–6 hours/day, 25–30 hours/week)

About the Role

We are seeking an organized, detail-oriented Shipping & Order Fulfillment Specialist to join our team immediately. In this role, you will manage end-to-end order processing, coordinate outbound shipments with our lab and warehouse teams, and handle critical records and invoicing.

Key Responsibilities

Morning Operations: Shipping & Order Fulfillment (8:00 AM – 1:00 PM)

• Shipment Coordination: Review daily production recaps to identify ready-to-ship materials; collaborate with Shipping personnel and Forklift drivers to pick, verify, and stage orders.
• Lab Coordination: Liaise with the Lab team to secure required test reports and samples for outbound packages.
• Documentation & Data Verification: Verify shipment accuracy (quantities, lot numbers, and paperwork) prior to dispatch.
• ERP Processing: Process shipments in Syspro and generate Packing Lists, Shipping Manifests, and Test Reports.
• Logistics Management: Schedule outbound deliveries, book freight trucks, and prepare/process lab batches using FedEx Express or FedEx Ground.
• Digital Archiving: Scan and file all completed shipping paperwork directly into shared network drives (S Drive).
• Order Closing & Invoicing: Close completed orders in Syspro once picked up and process corresponding invoices.
• Data Tracking: Maintain and update the CP Transaction Report spreadsheet, moving orders from 'Open' to 'Closed' tabs.
• Cross-Departmental Communication: Email invoices and reports to Finance/AP/AR, and deliver completed shipping records to Customer Service.
• Next-Day Preparation: Prepare shipping manifests and documentation for the following day’s shipments.
• Final Audit: Conduct end-of-day quality reviews to confirm all orders are closed, invoiced, documented, and properly archived.

Qualifications & Skills

• Experience: Prior experience in shipping, order fulfillment, logistics coordination, or warehouse admin.
• ERP Proficiency: Experience working with Syspro (or similar ERP systems like SAP, Oracle, or NetSuite) is highly preferred.
• Software Skills: Proficiency with MS Excel/Google Sheets and digital document management/scanning.
• Detail-Oriented: Exceptional accuracy when verifying lot numbers, product quantities, and technical test reports.
• Communication: Clear written and verbal communication skills for cross-departmental coordination (Lab, Warehouse, Finance, Customer Service).
• Availability: Able to start immediately.
