Executive Assistant

An entrepreneur is seeking a highly organized Executive Assistant to provide administrative support across a portfolio of businesses. This is a single point of support for multiple companies at once. The right candidate will hold the full picture - deadlines, deliverables, and relationships across every entity - and keep the entrepreneur’s week running smoothly. Responsibilities Help coordinate meeting invites across multiple calendars Manage and support multiple high-volume inbox; draft and send correspondence on the entrepreneur’s behalf Serve as another point of contact for clients, vendors, and partners, including high-profile relationships requiring discretion Organize contracts, insurance files, licenses, and records across multiple LLCs; track renewals, filings, and deadlines Process invoices and expenses and coordinate with the bookkeeper and CPA Prepare proposals, decks, one-pagers, and recurring reports Coordinate production logistics - call sheets, crew scheduling, locations, equipment, permits Provide personal scheduling and errand support as needed Qualifications 3+ years supporting an executive, business owner, or entrepreneur - multi-entity experience required Exceptional written and verbal communication; able to draft in the entrepreneur’s voice Proven ability to build systems and manage competing priorities across unrelated industries Fluency with Google Workspace, Microsoft 365, and Claude AI; quick to learn new tools Absolute discretion with confidential business, financial, and personal information.
