DME Intake Specialist: Part-time to Full-Time

About the Role:

OHC Medical Supply is seeking a dedicated, hardworking DME Intake Specialist for our Houston location. This position will begin part-time, with the opportunity to transition to full-time as business needs grow and performance expectations are met.

You will ensure new medical equipment orders begin with accurate information and complete documentation. You will work alongside our remote processing team to keep orders organized and moving forward.

Responsibilities :

• Receive incoming orders and faxes daily and match them to the correct patient and order the same day.
• Review orders for completeness, including signed orders, prescriber details, insurance information, and medical necessity documentation.
• Contact doctors’ offices to obtain missing or corrected paperwork and document each contact.
• Enter patient and order information accurately in our order system and tracking boards.
• Confirm the intake form or verbal attestation is recorded before an order moves forward.
• Hand off complete files to processing, prior authorization, and billing, and flag problems early.
• Support the remote processing team by answering questions, identifying errors, and keeping the intake queue current.
• Assist with patient walk-ins and equipment pickups when needed.
• Protect patient information and follow HIPAA and company policies.

Qualifications :

• At least 1 year of DME, medical supply, healthcare intake, or order-processing experience required.
• Familiarity with insurance and prior authorization terminology.
• Comfortable using CRM or order-management software.
• Strong attention to detail and consistent documentation of daily work.
• Clear, courteous communication with patients, doctors’ offices, and coworkers.
• Dependable, hardworking, and committed to following tasks through to completion.
• Bilingual English/Spanish preferred.
