Description The UCSD Health Sciences organization encompasses 14 departments, 2 professional schools, 2 hospitals, and various programs dedicated to fulfilling Health Sciences missions. This role provides programmatic support for the Neurosciences Graduate Program, a multi‑disciplinary program with ~100 graduate students and 150+ faculty. Responsibilities include event planning and coordination (Admissions, Recruitment, Orientation, Fall Welcome, Boot Camp, Seminar Series, Spring Retreat), responding to inquiries, advising students on program policies, handling travel and disbursement requests, tracking recruitment trends, designing reports and promotional materials, maintaining the program database and website, coordinating evaluations and committee meetings, implementing graduate policies, and providing Human Resources and Payroll support. The coordinator also supports professional health education program operations, curriculum planning, scheduling, compliance monitoring, and accreditation processes. Minimum Qualifications Six (6) years of related experience, education/training, or a Bachelor’s degree in a related area plus two years of related experience/training. Basic knowledge of relevant policies, regulatory requirements, health professions education industry, and administrative research. Communication skills (verbal, written, active listening) and a service‑oriented, responsive attitude. Interpersonal skills and ability to develop working relationships with department staff and learners. Excellent organizational, analytical, and detail‑oriented skills; ability to manage complex faculty calendars. Knowledge of educational technology and systems; troubleshooting and triage of related technology issues. Investigative, data analysis, and reporting skills; ability to generate, verify, and submit accurate reports. Experience providing high‑level independent programmatic support in an academic environment. Experience advising students on higher‑education programs. Critical thinking and ability to recommend curricular, workflow, and process improvements. Interpersonal skills to articulate program information to diverse audiences. Design and production of reports, tables, spreadsheets, brochures, and promotional materials. Solid computer skills with MS Word, Excel, PowerPoint, Access, email, and web‑based programs; ability to maintain databases and websites. Experience scheduling meetings, conferences, and receptions with strict attention to detail. Proven research and analytical skills with clear, concise reporting. Knowledge of web page design and layout; experience updating and maintaining websites and using graphics and desktop publishing software. Preferred Qualifications Experience with UCSD systems (PPS, IFIS, ISIS, Studentlink, Travellink, and Pay Authorization). Knowledge of policies and procedures related to purchasing, travel, disbursements, human resources, and payroll. Special Conditions Employment is subject to a criminal background check. Occasional evenings and weekends may be required. Overtime may be required during peak periods (August, September, January, February, March). Vacations must be scheduled during off‑peak periods.
