In this role, you will serve as the first point of contact for visitors, customers, and employees, helping create a positive and welcoming experience while supporting the day-to-day administrative operations of our corporate office. Schedule: Monday-Friday, 12:00 PM - 5:00 PM Additional Coverage Requirement : This role participates in a job-share arrangement and will be expected to provide coverage for the alternate Receptionist shift (8:00 AM - 12:00 PM) during periods of vacation, illness, or other absences. This position is ideal for someone who enjoys interacting with people, thrives in a fast-paced environment, and takes pride in keeping an office running smoothly through exceptional organizational and communication skills. What You'll Do Answer and direct incoming calls through a multi-line phone system in a prompt and professional manner. Welcome visitors, manage the visitor sign-in process, and issue visitor badges. Receive customer invoice payments and coordinate FedEx deliveries to lockbox processing. Open, sort, and distribute incoming mail to the appropriate departments. Process invoices and route administrative documentation according to established procedures. Support the sales team by researching and validating customer information, including company websites, addresses, and contact details. Provide general administrative and clerical support to Human Resources and other departments. Assist with the coordination and tracking of small projects and departmental initiatives. Maintain accurate files and records while handling confidential information with discretion. Support additional administrative tasks and special projects as assigned. What We're Looking For High school diploma required; associate degree or related coursework preferred. Previous experience in reception, customer service, administrative support, office coordination, or a similar role. Strong verbal and written communication skills with professional phone etiquette. Excellent customer service skills and a polished, professional demeanor. Strong organizational skills with exceptional attention to detail. Ability to manage multiple priorities and adapt to changing business needs. Ability to maintain confidentiality and exercise sound judgment. Proficiency with Microsoft Office, including Word and Excel. Experience using multi-line phone systems and general office equipment such as copiers, scanners, printers, and postage systems.
