Admissions Coordinator

The Admissions Coordinator is responsible for the frontline execution of the admissions process, serving as the first point of contact for individuals and families seeking treatment at Horizon Recovery. This role plays a critical part in ensuring that every inquiry is handled with urgency, empathy, accuracy, and professionalism. Admissions Coordinators manage inbound calls and referrals, evaluate admission criteria, collect and document required information, coordinate insurance verification, and facilitate admissions, transfers, and referrals. Success in this role is measured by responsiveness, documentation accuracy, conversion of qualified leads, and the quality of the family experience. 1. Inquiry Handling & Client Engagement Receive and respond promptly to inbound inquiry calls, referrals, and follow-ups. Communicate with individuals, families, and referral sources in a compassionate, professional, and confident manner. Gather accurate demographic, custody, clinical, and referral source information. Clearly explain Horizon Recovery's programs, services, and policies to families. 2. Admissions Screening & Coordination Screen callers for admission criteria and appropriate level of care. Facilitate admissions, transfers, step-downs, and step-up related coordination. Coordinate intake logistics with internal teams and external facilities as needed. 3. Insurance & Financial Coordination Collect insurance information and submit for verification of benefits (VOB). Communicate insurance coverage, benefits, and financial responsibility clearly to families. Coordinate payment arrangements and ensure required financial documentation is completed prior to admission. 4. Documentation & CRM Management Accurately document all inquiries, referrals, and outcomes in the CRM. Ensure all contacts—qualified or unqualified—are logged with complete and accurate information. Maintain timely follow-up documentation and task completion. 5. Census & Workflow Awareness Maintain awareness of current census, waitlists, and anticipated intake availability. Communicate changes or issues impacting intake timing to leadership. Support scheduling accuracy by aligning intake activity with program capacity. Minimum Qualifications High school diploma or GED required; Bachelor's degree preferred. Must be willing and able to perform job duties between 6:00 AM and 10:00 PM, including evenings, weekends, and holidays as required. Admissions workload and hours may be unpredictable and require flexibility. Previous experience in behavioral health, healthcare intake, or a related field preferred. Must be at least 21 years of age. Ability to pass required background checks. Ability to obtain and maintain a Level One Fingerprint Clearance Card if required. PHYSICA LRE Q U I R E M E N T S Physical & Work Environment Must be able to walk, bend, stand, climb stairs, speak English, hear, use a telephone, drive an automobile, and operate standard office equipment such as a computer, copier, and fax machine. Must be able to lift and carry up to 30 pounds. Reliable high-speed internet connection and a professional workspace when working from home. Ability to participate in remote meetings, calls, and virtual training sessions. Fast-paced environment requires attention to detail and responsiveness.
