The Shipping Coordinator & Inside Sales Support Specialist is essential to operational efficiency within the sales and client experience teams. This position is responsible for coordinating logistics, managing quotations and order processing, maintaining accurate customer and order data, and ensuring seamless communication between internal teams, customers and freight vendors. By providing support in these key areas, this role helps drive revenue generation, operational efficiency, and an exceptional client experience. Success in the Shipping Coordinator & Inside Sales Support Specialist role is defined by the efficient movement of orders from quote to fulfillment, fulfilling orders by coordinating outbound shipments and return shipments, the support of sales team productivity, the accuracy of data management, and the delivery of seamlesscustomer experience. A successful Shipping Coordinator & Inside Sales Support Specialist will effectively balance operational tasks with customer-facing responsibilities, driving the success of both the sales team and the client experience. Key Responsibilities: Logistics & Coordination Coordinate shipment scheduling and delivery logistics with internal teams and vendors to ensure timely and cost-effective deliveries. Track shipments and communicate status updates promptly to customers and sales representatives. Assist in managing returns, replacements, and service-related orders as needed, ensuring minimal disruption to client operations. Consistently meet shipping deadlines and budget targets on a monthly basis. Respond to all customer and vendor inquiries within four business hours. Provide essential support to sales representatives by ensuring accurate quotations, order entry, order management, documentation, and client communication. Follow up on quotations to ensure client satisfaction and successful conversion. Review quotations and customer orders for accuracy, pricing, and completeness before issuing or processing. Work closely with internal teams to ensure timely order fulfillment, quotation submission, and consistent communication. Proactively monitor open quotations and orders, addressing any delays or issues promptly. Respond to all customer inquiries within four business hours, ensuring excellent customer service at every touchpoint. Customer Support Serve as a key point of contact for customer inquiries related to quotation requests, orders, product availability, and order status. Provide timely, professional responses to all customer inquiries via phone, email, or internal communication channels. Resolve any product inquiries, order discrepancies, invoice requests, or logistical concerns, ensuring a smooth customer experience. Data Management Maintain accurate and up-to-date customer records, order data, and sales documentation in CRM and QuickBooks. Support the team in ensuring data accuracy and compliance with internal processes and standards. Operational Support Provide cross-functional support to the sales, support, and shipping teams, helping to streamline processes and drive operational efficiency. Required Qualifications: High School diploma or equivalent (GED) 2+ years of experience in B2B sales support, client communication and/or shipping & logistics. 2+ years of experience coordinating outbound shipments for a manufacturing company, including arranging shipments of finished products, equipment, parts, or assemblies to customers and/or vendors. Knowledge of CRM systems, QuickBooks, Microsoft Office, or similar business software. Proven ability to meet deadlines and stay within budget constraints. Experience coordinating with freight carriers, customers, vendors, and internal departments to schedule and track shipments. Experience preparing and managing shipping documentation, bills of lading, freight quotes, tracking information, and delivery details. Strong understanding of the outbound shipping process within a manufacturing environment. (General warehouse, retail shipping, or shipping/receiving experience alone does not meet this requirement.) Strong organizational and multitasking skills, with the ability to manage multiple priorities in a fast-paced environment. Excellent written and verbal communication skills to interact with customers, vendors and internal teams effectively. High attention to detail and accuracy in data entry, order management, client communication and documentation. Ability to work independently while collaborating within a team environment.
