We are seeking a highly organized and detail-oriented Onboarding Specialist to join our Human Resources team in Traverse City, MI!

As an Onboarding Specialist with North Arrow ABA, you’ll play a critical role in delivering a seamless, high-quality onboarding experience for new hires across our growing organization. Supporting a team of 150+ clinical and administrative staff, you’ll serve as the operational hub from offer acceptance through full integration—ensuring every new employee feels welcomed, prepared, and set up for success. This role is highly administrative, process-driven, and focused on continuous improvement of onboarding systems and workflows.

Availability & Location

• Primarily on-site role based in Traverse City, MI, with limited flexibility for remote work as appropriate;
• Occasional travel to other center locations as needed;
• Standard business hours aligned with HR and operational needs;

Responsibilities

• Lead and coordinate the full onboarding process for new hires, ensuring a smooth, timely, and organized transition from offer acceptance through full integration into the organization;
• Execute all onboarding administrative tasks including documentation, system setup, scheduling, and cross-functional coordination;
• Serve as the primary point of contact for new hires, providing clear communication, guidance, and a high level of customer service throughout onboarding;
• Coordinate onboarding schedules, training sessions, and system access in partnership with clinical and administrative leaders;
• Maintain accurate onboarding records, employee files, and checklists within HR systems;
• Collaborate with HR, operations, and clinical leadership to continuously improve onboarding workflows, tools, and materials;
• Identify process inefficiencies and proactively implement improvements to enhance onboarding efficiency and quality;
• Ensure a positive, professional, and welcoming onboarding experience for all employees;
• Support broader HR initiatives including recruiting coordination, scheduling, and administrative projects as needed;
• Respond to leadership requests for onboarding data, metrics, and reporting;
• Assist with onboarding logistics for both clinical and administrative staff, including BCBA-level hires;
• Additional responsibilities as assigned

Required Skills

• High school diploma or equivalent required;
• Minimum of two (2) years of experience in an administrative, operations, HR support, or office coordination role in a fast-paced environment;
• Reliable transportation;
• Ability to travel occasionally between center locations as needed;
• Strong administrative and organizational skills with exceptional attention to detail;
• High proficiency with technology, including Google Workspace, HRIS systems (BambooHR preferred), and applicant tracking systems;
• Excellent written and verbal communication skills;
• Strong customer service mindset with a focus on responsiveness and professionalism;
• Proven ability to manage multiple priorities with accuracy and consistency;
• Demonstrated reliability, dependability, and follow-through;
• Ability to handle confidential information with discretion;

Preferred Qualifications:

• Associate’s or Bachelor’s degree in business, human resources, communications, or a related field;
• Experience with onboarding, employee coordination, or administrative workflow management;
• Experience in healthcare or multi-site operational environments;
• Exposure to HR systems, recruiting coordination, or onboarding processes;
• Experience with instructional design or adult learning principles;
• Strong problem-solving skills and a proactive approach to process improvement;
• Ability to work both independently and collaboratively within a team environment;
• Adaptable, open to feedback, and comfortable in a dynamic, evolving environment;

Physical & Work Requirements:
Ability to work in a standard office environment and use typical office equipment;
Ability to sit for extended periods of time;
Ability to lift and carry up to 20 pounds;
Ability to read computer screens and printed materials, and communicate effectively in person and via phone;
