The Marketing Coordinator plays an integral role in preparing qualifications-based submittals, maintaining marketing systems and databases, and supporting brand, communications, and business development activities. The position requires exceptional organization, attention to detail, time management, and communication skills, with the ability to coordinate multiple priorities and deliver high-quality work under critical deadlines. Requirements The ideal candidate will possess, at a minimum: Valid Texas driver's license and clean driving record Ability to work evenings, weekends, and other non-standard hours as needed Strong interpersonal skills with a positive, team-oriented approach Qualifications and Experience The ideal candidate will have experience supporting qualifications-based marketing efforts within the A/E/C industry and a solid understanding of the structure, organization, and compliance requirements of RFQ, RFP, and SOQ submissions. A strong foundation in technical writing, editing, document production, and page layout is essential, along with proficiency in industry-standard software. Familiarity with A/E/C terminology, project delivery methods, and professional services marketing practices Experience supporting RFQ, RFP, and SOQ response development within the A/E/C industry Understanding of qualifications-based selection processes and proposal compliance requirements Strong technical writing, editing, proofreading, and document formatting skills Proficiency in Microsoft Office Suite (Outlook, Word, Excel) Proficiency in Adobe Creative Suite (InDesign, Photoshop, and Acrobat Pro) Experience with Deltek Vision or Deltek Vantagepoint preferred Graphic design experience preferred Core Competencies Success in this role requires a highly organized, detail-oriented professional who can effectively manage multiple priorities while maintaining accuracy and composure in a fast-paced, deadline-driven environment. This role provides hands-on support with proposal development, document production, content coordination, marketing systems, and brand communications. Proposal and Pursuit Support Review RFQs/RFPs/SOQs to understand requirements, evaluation criteria, and compliance requirements Coordinate proposal schedules, content development, production, and final submissions Assist with writing, editing, and organizing resumes, project descriptions, firm narratives, and other proposal content Develop graphics, charts, tables, and visual elements Marketing Systems and Content Management Maintain CRM, marketing databases, project information resumes, and marketing collateral Maintain vendor registrations and marketing profiles Support website updates, social media content, newsletters, and communications Business Development Support Conduct market research and track upcoming pursuits Support interviews, presentations, conferences, and client engagement activities Attend industry events as directed to support relationship development and identify opportunities This role requires professionalism, dependability, responsiveness, and exceptional attention to detail, along with the ability to adapt to evolving marketing initiatives, shifting priorities, and critical deadlines.
