The Practice Coordinator provides dedicated 1:1 support to a spine physician, ensuring efficient clinical operations and an exceptional patient experience. This role serves as the primary liaison between the physician and patients, coordinating all aspects of care including clinic flow, surgical scheduling, and administrative processes. The ideal candidate is highly organized, proactive, and capable of managing both clinical and operational responsibilities in a specialty practice.

Responsibilities

• Dedicated Physician Support
• Work directly 1:1 with the physician to manage daily clinic workflow and priorities

Patient Care & Clinical Support

• Room patients and prepare exam rooms
• Accurately document patient intake information and obtain outside medical records including images
• Maintain cleanliness and organization of clinical spaces

Patient Communication

• Answer incoming phone calls, respond to emails, and manage patient inquiries in a timely and professional manner
• Provide clear communication regarding appointments, procedures, and care plans
• Deliver a high-touch, service-oriented patient experience

Scheduling & Coordination

• Schedule and manage clinic appointments efficiently
• Coordinate surgical cases, including pre-operative and post-operative appointments
• Communicate with hospitals, surgery centers, and ancillary services to ensure continuity of care
• Verify scheduling accuracy and optimize provider templates

Billing & Administrative Support

• Assist with basic billing functions, including charge entry and payment collection
• Verify insurance benefits and obtain prior authorizations as needed
• Maintain accurate patient demographics and insurance information
• Support financial communication with patients, including estimates and balances

Operations & Workflow Management

• Ensure smooth daily clinic operations and patient flow
• Identify inefficiencies and contribute to process improvements
• Maintain compliance with practice policies and healthcare regulations
• Support team collaboration and cross-functional communication
• Maintain inventory in clinical space
• Anticipate provider needs to ensure efficient patient flow and time management
• Serve as the primary point of coordination between the physician, patients, and care team

Qualifications

• 2+ years of experience in a medical office, preferably in a multi-functional role
• Strong understanding of medical terminology and clinical workflows
• Experience with scheduling, insurance verification, and basic billing processes
• Excellent communication and customer service skills
• Ability to multitask and work in a fast-paced environment
• Proficiency with EMR/EHR systems and standard office software

Preferred Qualifications

• Experience with surgical scheduling and coordination
• Familiarity with prior authorizations and insurance processes
• Background in specialty care (e.g., spine, orthopedics, pain management)
