Position Summary The Business Support Specialist works collaboratively with the entire Support Services team to provide a variety of support‑related services. Responsibilities include processing outgoing and interoffice mail, sorting and distributing incoming mail, shipping and receiving packages, bindery operations, providing courier services to multiple locations, fleet management, and operating and maintaining specialized mail processing machinery daily. The specialist partners with the Facilities team to ensure proper maintenance of equipment at sites, assists with safety program inspections, and performs ergonomic evaluations for employees. Key Outcomes Transports mail, confidential information, x‑rays and medical records, equipment, and supplies in a courteous, respectful and timely manner to ensure efficient flow of information throughout all locations Receive, collect, sort, and deliver interoffice mail, USPS mail, UPS, FedEx, and other carrier letters and small packages company-wide for multiple locations in accordance with USPS, FedEx, and various vendors regulations Processes outgoing mail and packages from our internal department according to department guidelines Receive incoming shipments to verify correctness of items, check for damaged goods, and ensure that goods are appropriately routed to various departments Scan package deliveries using Tektrack software, maintain receiving logs, and collaborate with Procurement to reconcile Purchase Orders Safely and effectively maintain and operate USPS‑approved postage equipment and machinery; insert, collate, fold, stretch and coordinate with mail processing Identify, set up and program the Pitney Bowes inserter machine, and perform quality checks during production runs Provide exceptional customer service, production coordination, quality control, and supply management in support of the department’s balanced scorecard Receive, transport, and log check/cash deposits from MPHC locations to TD Bank Transport pharmaceuticals, lab specimens, toxic waste bio‑medical instruments and hazardous materials between sites and off‑site facilities in compliance with federal, state, and local guidelines Safely operate MPHC vehicles according to MPHC protocol Assure all records and logs maintained by the team are accurate and up‑to‑date according to governmental and department guidelines Maintain active Ergonomic Team Member status by attending meetings, training sessions, and performing ergonomic evaluations Serve as backup for answering the Support Services emergency hotline by prioritizing and coordinating responses according to the level of emergency and established protocols Perform quarterly safety inspections and maintain first aid kits throughout the organization Participate in quality improvement projects and initiatives supporting fiscal integrity of the organization Maintain a clean and organized work area and team area Assist in identifying process and quality improvements Maintain vehicle maintenance for the MPHC fleet; manage annual inspections, track mileage, registration, repairs, fueling, transpass, insurance, and monthly billing invoices for the fleet Other duties as assigned Education and Experience Valid Maine driver’s license High School diploma or GED 4+ years mailroom operations or relevant work experience Skills, Knowledge, and Competencies (Behaviors) Demonstrates an understanding of and alignment with Martin’s Point Values Self‑starter, able to work independently with attention to detail Able to follow written and oral instruction Visual acuity and fine motor skills needed for daily routine tasks Maintain confidentiality and function independently in a team environment Comfortable in a high‑energy environment Knowledge of mechanical operations of mailroom equipment Strong computer skills – ability to program systems including Pitney Bowes inserter, Pitney Bowes USPS postal machine, Tektrack software, and database management Prompt, neat, courteous and efficient in dealings with staff, patients and external customers Strong communication skills – ability to persuade, diplomatically engage, and empathize at all levels of the organization Ability to perform the physical requirements of the job, including bending, stooping, standing for long periods, and lifting up to 50 pounds Model good safety habits This position is not eligible for immigration sponsorship.
