Part-Time Staffing Funding & Finance Consultant – Factoring / A/R / Reconciliation

Initial Commitment: 3–4 hour paid diagnostic consultation, with potential for approximately 2–4 hours per week thereafter
Compensation: Approximately $60–$100/hour depending on direct experience; target range approximately $80/hour

Talented Medical Solutions (TMS) is a growing U.S.-based healthcare staffing agency providing nursing and allied healthcare staffing services.

We are seeking an experienced staffing-industry finance/funding professional to provide independent oversight and guidance related to our payroll funding/factoring relationship, accounts receivable, invoice funding, reserves, fees, reconciliations, and internal financial controls.

This is not a general bookkeeping position . We are specifically looking for someone with hands-on experience working with staffing agencies and payroll funding/factoring companies.

Initial Engagement

The engagement will begin with a paid 3–4 hour diagnostic review .

The consultant will review our current funding structure and processes and help us understand whether our invoices, advances, reserves, fees, payments, aging, adjustments, and reconciliations are being handled and tracked appropriately.

Following the initial review, there may be an opportunity for ongoing consulting of approximately 2–4 hours per week , depending on our needs and mutual fit.

Responsibilities

The consultant may assist TMS with:

• Reviewing staffing-agency funding/factoring activity;

• Reviewing invoice purchases and funding advances;

• Reconciling expected funding against actual ACH deposits;

• Reviewing reserve withholding and reserve releases;

• Reviewing administrative/factoring fees and other deductions;

• Reviewing A/R aging and outstanding client invoices;

• Reviewing chargebacks, repurchases, credit memos, write-offs, and other adjustments;

• Identifying unexplained discrepancies or potential duplicate/incorrect charges;

• Reviewing funding and reconciliation reports;

• Helping establish a reliable weekly and monthly funding reconciliation process;

• Reviewing internal controls surrounding funding, invoicing, A/R, cash application, and company expenses;

• Providing recommendations for improving our finance workflow;

• Working with our CFO and internal finance/bookkeeping support;

• Helping train our internal team on proper funding reconciliation and reporting; and

• Providing independent feedback and recommendations to company leadership.

The consultant may receive controlled access to relevant funding reports, accounting information, and other financial documentation after appropriate confidentiality requirements are completed.

Required Experience

We are particularly interested in candidates with direct experience in one or more of the following:

• Finance/accounting within a staffing agency;

• Payroll funding or staffing factoring;

• Staffing agency A/R and cash application;

• Funding and reserve reconciliation;

• Staffing agency controller or finance management;

• Back-office financial operations for staffing companies;

• VMS/MSP invoicing and reconciliation; and/or

• Healthcare staffing financial operations.

Experience working directly with Advance Partners or similar staffing funding/factoring companies is strongly preferred.

Healthcare staffing experience is preferred but not required if you have significant staffing funding/factoring experience.

What We Are NOT Looking For

This is not intended to be a traditional bookkeeping-only role.

General QuickBooks, tax preparation, or corporate accounting experience without staffing funding/factoring experience will not be sufficient for this engagement.

Confidentiality

Because this engagement involves confidential financial, client, invoice, rate, and funding information, the selected consultant will be required to sign an NDA/confidentiality agreement before receiving sensitive account information.

5. Have you managed staffing agency A/R aging, chargebacks, repurchases, credit memos, or reserve reconciliations? Please provide examples.

6. Have you worked with VMS/MSP invoicing? If yes, which types of systems or clients?

7. Are you comfortable beginning with a 3–4 hour paid diagnostic consultation and providing a brief written assessment of your findings and recommendations?

8. If the initial consultation is successful, would you be available approximately 2–4 hours per week for ongoing review, guidance, and support?

Please be specific about your staffing funding/factoring experience . We are looking for someone who has personally performed this work rather than someone seeking to learn the process during the engagement.
