Responsibilities
Serve as a Service Operations Coordinator supporting the Dallas branch and providing backup coordination support to other branches as needed.
Receive and manage incoming reactive service calls, gather required customer and job information, and coordinate appropriate next steps.
Schedule service calls, preventative maintenance, follow-up visits, technicians, vendors, and outsourced service providers based on customer needs, technician availability, service-level requirements, and business priorities.
Coordinate the outsourcing of reactive service calls throughout the week and monitor completion to ensure timely customer support.
Maintain clear and timely communication with customers, technicians, branch leadership, vendors, and other internal teams regarding schedules, job status, delays, and changes.
Create, update, and maintain work orders in the appropriate systems with accurate customer, equipment, scope-of-work, scheduling, and completion information.
Audit work orders for accuracy, completeness, required documentation, labor, parts, pricing, and proper closure before submission for billing or further processing.
Review invoices and supporting documentation and complete accurate accounts payable coding in accordance with company and branch requirements.
Track open work orders, outstanding documentation, schedule changes, cancellations, and follow-up items to help ensure jobs are completed and closed timely.
Provide backup support for service coordination activities across other branches, including call intake, scheduling, work-order management, auditing, and invoice or AP coding support.
Assist with reporting, tracking service activity, identifying outstanding items, and maintaining accurate records.
Support branch leadership and operations teams with administrative tasks, special projects, and other service coordination responsibilities as needed.
Qualifications
Strong organizational and time-management skills, with the ability to manage multiple service calls, schedules, work orders, and follow-up items accurately and efficiently.
Proficiency with computers and administrative systems, including scheduling platforms, work-order management systems, and Microsoft Office.
Ability to work independently, prioritize tasks, and make sound decisions while also collaborating effectively with branch teams, technicians, customers, vendors, and other coordinators.
Strong communication and customer service skills, with the ability to receive calls, coordinate outsourced services, audit work orders, and maintain accurate records with close attention to detail.
