The Senior Program Coordinator in the Office of the Registrar plays a vital role in daily operations and student support services. This position provides essential administrative, operational, and strategic support within the Office of the Registrar, ensuring the accuracy, efficiency, and compliance of registration and records management processes while contributing to project planning, policy development, and continuous process improvement. Posting Summary Rutgers University–Newark (RU-N), an urban public research university and anchor institution located in Newark, New Jersey, a city of promise, is seeking a Senior Program Coordinator for the Office of the Registrar. This position is a vital member of the Office of the Registrar and reports to the Assistant Registrar SPVR . This position is responsible for and not limited to the following: Serve as a key role in delivering high-quality, student-centered support and provide senior-level coordination and functional oversight for student records and enrollment operations. Maintain and coordinate workflows for complex and non-routine student record requests, ensuring the integrity, accuracy, and security of student records across university systems. Apply advanced knowledge of registrar policies, academic regulations, and FERPA to support consistent and compliant service delivery to counsel students, families, faculty, and staff. Assist in resolving complex student record issues and collaborate with campus partners to support student success and ensure institutional compliance. Support a full range of student record and enrollment functions, including complex and specialized registration such as cross-registration partnerships and eligibility scenarios Serve a critical role and exercise independent judgment in resolving escalated student record issues and ensuring accurate enrollment status, academic coding, and term-based record updates that directly impact billing, financial aid, and compliance. Maintain and reconcile student enrollment and record activity by reviewing system outputs, identifying and resolving discrepancies, and ensuring accurate updates across the student information system and downstream reporting systems. Coordinate and support special initiatives related to diploma processing, document management, system updates, registration calendars, and service delivery enhancements. Participate in university-wide committees and initiatives; identify operational risks; and recommend process improvements and problem-solving strategies. Support training, onboarding, communication, and continuous improvement initiatives within the Office of the Registrar, including new staff, student employees, and cross-functional partners. Serves as a subject matter expert and resource for Registrar policies and procedures. Ensure compliance with federal, state, and university regulations and safeguard the integrity of student records and institutional eligibility. Supports the analysis of registrar operational processes, identifies systemic issues and service gaps, develops recommendations, and collaborates with leadership on implementation strategies to improve efficiency, compliance, and student success outcomes. Provide daily support via walk-ins, scheduled appointments, virtual platforms, email inquiries, and Salesforce cases. Service as a Counselor on Call ( COC ), the coordinator provides front-line escalation support to One Stop Counselors for high-level inquiries related to registrations, holds, transcripts/verifications, and student record discrepancies. Provides functional direction and technical guidance to support staff, student employees, and One Stop personnel regarding registrar procedures, record integrity standards, and escalation protocols. Use advanced technical, analytical, and communication skills, along with the ability to work in a fast-paced environment and adapt to evolving systems and procedures. Contribute to departmental and cross-functional projects, including self-appraisal evaluations, service delivery enhancements, website and communication updates, and training initiatives. Strong problem-solving ability, customer service orientation, and commitment to student success are essential to this position.
