Program Support Assistant

Summary This position is located within Readjustment Counseling Service, and its primary purpose is to provide administrative and clerical support to a multi-disciplinary team providing counseling services to veterans with readjustment problems. By virtue of the mission of the Vet Center, the incumbent is the only administrative person located on site thus becoming responsible for many of the administrative, fiscal, and supply support functions for the Vet Center team. Major Duties Administrative duties (50%): Proficient use of Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) to create correspondence, presentations, spreadsheets, tracking systems, and communication; maintain and update RCS data in RCSNet; use share drives, SharePoint, Integrated Funds Control, Accounting, Procurement (IFCAP), Invoice Payment and Processing System (IPPS), and FORCE; keep all databases current and complete for accurate reporting; type and data‑entry; review and respond to telephone, e‑mail, and mail inquiries in a timely manner; ensure all correspondence is grammatically correct and formatted per RCS style guidelines; create and maintain electronic documents and staff folders; manage timekeeping (bi‑weekly records); act as purchase card holder and maintain logs, forms, and documentation for vehicle and purchase card transactions. Program duties (25%): Assist the Vet Center by maintaining office equipment, placing work orders, and ensuring repairs are completed; prioritize workload based on standing orders; develop and maintain tracking systems for assigned programs or projects; provide copying, scanning, and faxing support; create and maintain brochures, pamphlets, hand‑outs, staff business cards, and other Vet Center documents in compliance with RCS communication and branding guidelines. Office duties (25%): Maintain a welcoming lobby, keep tables clean, arrange books/magazines, straighten furniture, and stock the refreshments/coffee area; repair or remove any safety hazards; greet all visitors, identify Veterans, confirm appointments, and notify counsel of arrivals; use judgment to determine when additional professional guidance is needed and contact appropriate Vet Center staff for crisis situations. Work schedule: Monday – Friday, 8:00 am to 4:30 pm. Some nights and weekends may be required. Telework may be authorized on a case‑by‑case basis; the position is not a virtual position.
