Program Coordinator : Meals On Wheels

Job Overview The Meals on Wheels Program Coordinator I collaborates with Volunteers of America staff, volunteers, and external agencies to provide meal service and connect at‑risk seniors who live independently to needed resources. Responsibilities Build trusting relationships with coworkers, peers, and program participants. Collaborate with the team to serve participants comprehensively and caringly. Maintain intake services, annual reassessments, and ongoing referral assistance. Answer client calls regarding services, program information, and help with eligibility and enrollment processes. Connect clients to community resources, including housing assistance, SNAP benefits, and healthcare. Manage a caseload of 300‑500 clients, keeping accurate, confidential records and complying with organizational policies and regulatory requirements. Coordinate Medicaid client services, ensuring eligibility, compliance, and access to appropriate care while serving as the primary contact for client support and case management. Handle crisis situations professionally, taking appropriate action and reporting critical incidents as required. Maintain confidentiality of all participant information. Initiate inquiries on client concerns and forward them to appropriate management. Assist the Volunteer Specialist with daily duties when needed. Occasionally fill in on client delivery routes to maintain service continuity. Communicate effectively with team members to ensure accuracy, efficiency, and cohesion in client support activities. Research and provide relevant resources to clients, such as educational materials or support services. Attend staff meetings, trainings, and seminars. Perform all other duties as assigned. Qualifications Ability to work independently, exercise sound judgment, and function effectively as part of a multidisciplinary team. Strong organizational and time‑management skills with the ability to prioritize competing demands in a fast‑paced environment. Professional, effective communication skills with clients, volunteers, staff, and community partners. Discretion in handling sensitive and confidential information in accordance with agency policies. Proficiency in Microsoft Office and ability to learn program‑specific databases and systems. Preferred Qualifications Strong listening skills and thoughtful responses to participant needs. Experience in gerontology, social services, case management, or a related field. Experience managing a high‑volume caseload and providing client‑centered support services. Strong problem‑solving skills and the ability to assess client needs and respond with appropriate resources and referrals. Experience working in nonprofit, community‑based, or aging services organizations. Ability to remain calm, professional, and solutions‑oriented in high‑stress or crisis situations. Working Conditions & Physical Requirements High volume of telephone calls during the day. Deliver meals to clients, potentially lifting up to 25 lbs. repeatedly. Travel may be required using a personal vehicle. Extended periods of sitting at a desk. Noise level is usually low to moderate. Position Type & Hours Full‑time, in‑person. Monday – Friday, 8:00 a.m. – 4:30 p.m. Occasional Saturdays, evenings, and holidays may be required.
