DOE Job Description The Specialty Services Coordinator position is responsible for scheduling and coordinating services for patients in multiple hospital‑based specialty services and providers, as well as clinic services. Duties include pre‑registration, insurance verification, estimate creation, collection of payments over the phone, inbound and outbound call handling, and occasional backup for in‑person check‑in and MyChart requests. Prerequisites High School Graduate or equivalent (G.E.D.) Minimum 1‑year front‑office experience in a physician office or hospital access department; experience with scheduling, registering, multi‑line phone systems, Electronic Medical Record systems, and coordinating multiple software programs simultaneously. Computer experience in a Windows‑based environment. Excellent verbal, written, and listening communication skills. Excellent customer‑service skills. Knowledge of medical terminology and abbreviations; ability to spell and understand commonly used terms. Qualifications Ability to function effectively and interact positively with patients, peers, and providers. Ability to access, analyze, apply, and adhere to departmental protocols, policies, and guidelines. Ability to provide clear verbal and written instructions. Demonstrated compliance with standards. Telephone software systems and Microsoft Office Suite navigation. High‑volume inbound call handling in a fast‑paced environment. Meeting or exceeding performance standards for registration quality, productivity, and collections. Strong grammar, spelling, and sentence structure. Physical & Mental Demands Stand or sit for extended periods. Perform repetitive keyboarding for extended periods. Lift supplies and/or documents up to 10 lbs. Assist patients in wheelchairs from admitting to patient care area. Performance Responsibilities Complex scheduling coordination across multiple hospital and clinic services. Verify and confirm referrals are complete and accurate. Use EPIC to gather scheduling information (patient acuity, referral, WQ, ancillary orders). Coordinate prerequisite completion (labs, films, medical history) and availability of clinical resources. Request additional information from referring offices as needed. Escalate when necessary based on patient symptoms. Handle outbound dialing for referral work queues to schedule active referrals. Generate patient estimates and manage Point‑of‑Service collections. Confirm financial clearance before services and refer to FA or management if needed. Complete MyChart scheduling and direct appointments. Process email, voicemail, InBasket messages, and in‑person requests. Achieve defined targets for productivity, POS collections, and financial clearance.
