Assistant Bookkeeper

John Herbert Company is hiringan Assistant Bookkeeper to join our team and support the office operations of a commercial flooring dealer in Newburgh, NY. Some of the things you’ll do: Create sales orders from accepted proposals by entering them into the company’s accounting & project management software, Sage100; Call / Email vendors to validate material selections and determine their price and availability; Issue vendor and installer purchase orders from Sage100, track shipments of material, and schedule installation; Receive and enter installer and vendor invoices into Sage100, assess actual vs estimated costs, and flag discrepancies to Project Managers; Prepare payments to vendors and installers, produce customer invoices, and record cash activity into Sage100; and, Assist with project record keeping including preparing prerequisite documentation, obtaining tax and insurance forms, and compiling product data and physical samples. The team is in the office 5 days a week from 8am – 5pm with an hour lunch break. Preferred Skills & Qualifications Candidates should be: Proficient in Microsoft Office and Adobe PDF; Organized, particularly with managing an inbox and shared electronic project folders; Able to type at least 45 words per minute; Willing to pick up the phone and make calls; Able to balance competing priorities; and, Personable, friendly, and a positive addition to the company.
