We are seeking a detail-oriented Construction Administrator to support construction projects by coordinating documentation, tracking project progress, managing communications, and assisting with contract and compliance processes. This role works closely with project managers, subcontractors, vendors, and clients to help ensure projects are completed on time, within budget, and in accordance with company standards.
Key Responsibilities
- Provide administrative support to construction project teams throughout the project lifecycle
- Prepare, organize, and maintain project files, contracts, submittals, RFIs, change orders, and closeout documents
- Track project schedules, deadlines, permits, insurance certificates, and compliance requirements
- Coordinate communication between project managers, field staff, subcontractors, suppliers, and clients
- Assist with meeting scheduling, agenda preparation, and distribution of meeting notes
- Monitor document control processes to ensure accuracy, completeness, and timely updates
- Support bid administration, vendor onboarding, and subcontractor documentation collection
- Maintain logs for submittals, change orders, delays, and other project activities
- Help prepare reports on project status, costs, and administrative milestones
- Ensure confidential and sensitive information is handled appropriately
- 2+ years of administrative experience, preferably in construction, engineering, architecture, or property management
- Strong understanding of construction documentation and project workflows
- Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook
- Experience with project management or construction software is a plus
- Excellent organizational, time management, and multitasking skills
- Strong written and verbal communication skills
- High attention to detail and accuracy
- Ability to work effectively in a fast-paced environment and manage competing priorities
