Service Advisor – Powersports & Agriculture Dealership

Position Type: Full-Time

Position Summary

The Service Advisor is responsible for serving as the primary point of contact between customers and the service department. This position coordinates customer service requests, prepares repair orders, communicates repair recommendations and estimates, and keeps customers informed throughout the service process.

The ideal candidate has strong customer service and organizational skills, mechanical knowledge, and an understanding of powersports and agricultural equipment, including ATVs, side-by-sides, tractors, zero-turn mowers, utility vehicles, and related equipment.

Essential Duties and Responsibilities

Customer Service

• Greet customers professionally and determine their service needs.
• Listen to customer concerns and accurately document equipment problems.
• Explain recommended repairs, maintenance schedules, and service procedures.
• Provide repair estimates, obtain customer approvals, and communicate changes in cost or completion time.
• Keep customers informed of repair status, delays, and parts availability.
• Handle customer questions and complaints promptly and professionally.
• Maintain strong customer relationships to encourage repeat business.

Service Department Operations

• Open, update, and close repair orders accurately.
• Schedule service appointments and coordinate equipment drop-offs and pickups.
• Work closely with technicians, the service manager, and the parts department.
• Prioritize work orders based on scheduling, customer needs, parts availability, and shop capacity.
• Verify that completed repairs are documented and customers are notified.
• Coordinate warranty claims and manufacturer-required documentation as assigned.
• Ensure customer equipment and personal property are handled properly.

Sales and Profitability

• Identify additional maintenance and repair needs during customer consultations.
• Recommend appropriate service packages, inspections, and preventative maintenance.
• Prepare accurate estimates for labor, parts, shop supplies, and outside services.
• Obtain authorization before performing additional work.
• Help the service department meet labor sales, customer satisfaction, and productivity goals.
• Maintain accurate records to support billing, warranty processing, and reporting.

Equipment Knowledge

• Develop working knowledge of powersports and agricultural equipment, including ATVs, UTVs , tractors, zero-turn mowers, and other outdoor power equipment.
• Understand routine maintenance, common repairs, warranty procedures, and manufacturer service requirements.
• Communicate technical information clearly to customers without unnecessary jargon.

Qualifications

• Previous service advisor, service writer, dealership, or automotive service experience preferred.
• Mechanical aptitude and familiarity with powersports, agricultural, or outdoor power equipment.
• Strong verbal and written communication skills.
• Excellent customer service, organization, and time-management abilities.
• Basic computer skills and the ability to learn dealership management software.
• Ability to manage multiple repair orders and changing priorities.
• Valid driver’s license and acceptable driving record, if required for moving or testing equipment.

Performance Expectations

• Provide professional, timely, and accurate customer communication.
• Maintain complete and accurate repair orders.
• Obtain proper authorization before repairs begin or additional work is performed.
• Help maximize technician productivity and service department efficiency.
• Support service labor sales, customer retention, and departmental profitability.
• Maintain a professional, organized, and customer-focused service environment.

Work Environment

This position operates in a dealership service department and works closely with customers, technicians, parts personnel, and management. The role may require occasional movement through the service shop and outdoor equipment areas.

Overall Objective

Deliver an outstanding customer experience while helping the service department operate efficiently, generate profitable service business, and build long-term customer loyalty.
