Position Overview

Our client is searching for a Payroll Specialist that plays a key role within the finance department, supporting full-cycle payroll operations across multi-site employee groups. Reporting to the Payroll Manager, this position is responsible for ensuring precise, compliant, and timely payroll processing while assisting with tax submissions, reconciliation, and routine financial analysis. The ideal candidate brings strong attention to detail, expertise in payroll compliance, and the ability to handle confidential information with discretion.

Key Responsibilities

• Support multi-frequency payroll processing (weekly, bi-weekly, and interim) for a large regional workforce.
• Maintain complete and accurate employee payroll records, including tax withholding updates, deductions, and organizational changes.
• Assist with bi-weekly, quarterly, and annual payroll tax filings and submissions in compliance with federal, state, and local regulations.
• Perform monthly 401(k) contribution limit tracking and trust statement reconciliations.
• Prepare and post monthly payroll journal entries and assist with labor cost variance analyses.
• Review automated time-keeping records, verify timesheets, and calculate garnishments to ensure precise payment generation (direct deposit and manual checks).
• Collaborate with regional management and HR teams to validate inputs, resolve discrepancies, and ensure smooth data flows.
• Support year-end close procedures, including W-2 reconciliation, audit support, and tax return preparation.

Required Qualifications

• Education: Associate's degree in Accounting, Finance, Business Administration, or equivalent hands-on experience.
• Experience: Minimum of 3 years of dedicated experience in payroll, financial accounting, or payroll administration.
• Technical Skills: Intermediate to advanced proficiency in MS Excel (vlookups, pivot tables) and automated timekeeping/payroll systems.
• Regulatory Knowledge: Solid foundation in state (California) and federal wage-and-hour laws, tax withholding, and employer-paid benefit taxation.
• Soft Skills: Exceptional discretion handling sensitive employee data, strong analytical skills, and clear verbal/written communication across all management levels.

responsibilities:

Essential Duties and Responsibilities

- Assists in the processing of the Company's payroll and maintains employee payroll records, in compliance with applicable federal and state wage-related regulations

- Assists in the performance of routine accounting and bookkeeping, often of a confidential nature, in such areas as payroll account analysis and payroll administration

- Interacts with regional management and Human Capital Management to ensure timely payroll process

- Assists in the reconciliation of payroll prior to transmission and validate confirmed reports

- Monitors workflow to ensure all payroll transactions are processed accurately and timely

- Completes and processes payroll journal entries, using previously developed systems

- Performs daily payroll department operations

- Understands proper taxation of employer paid benefits

- Reviews garnishment calculations and compliance

- Reviews time sheets and attendance processing and interface with payroll

- Processes manual check based on business needs

- Assists in the preparation of bi-weekly payroll tax submissions

- Assists in the preparation of quarterly and annual payroll tax return

- Reviews year end W-2s and wage reconciliations

- Performs other duties as assigned
