Customer Service Coordinator

The Customer Service Coordinator serves as a central point of contact for customers and field technicians, ensuring efficient scheduling, account management, and customer support. This position is responsible for coordinating service appointments, managing customer accounts, processing payments and service changes, and maintaining a high level of customer satisfaction through professional and responsive communication. Essential Duties and Responsibilities Scheduling & Service Coordination Manage and coordinate daily schedules for field technicians to maximize efficiency and customer satisfaction. Schedule new services, recurring services, follow-up appointments, and special service requests. Monitor technician routes and make scheduling adjustments as needed. Communicate appointment details and service updates to customers and technicians. Customer Account Management Set up and maintain all new customer accounts within company software systems. Process new service requests and ensure all customer information is accurately entered. Obtain and verify signed service agreements and maintain proper documentation. Update customer records, service preferences, and account information as needed. Accounts Receivable Monitor customer accounts for outstanding balances. Process customer payments and assist with collection of past-due accounts. Communicate professionally with customers regarding billing questions and payment concerns. Maintain accurate records related to customer billing and account status. Service Changes & Account Maintenance Process customer cancellations, service suspensions, and service modifications. Coordinate service disruptions, reschedules, and account reinstatements. Ensure all service changes are accurately documented and communicated to the appropriate departments. Serve as a backup for the Inside Sales position when needed. Answer inbound customer calls and direct inquiries to the appropriate team member or department. Provide exceptional customer service by addressing customer questions, concerns, and service requests. Assist customers in understanding available services and scheduling options. Qualifications Previous experience in customer service, office administration, scheduling, or dispatching preferred. Strong organizational and time-management skills. Excellent verbal and written communication abilities. Proficiency with customer management software, scheduling systems, and Microsoft Office or Google Workspace. Ability to manage multiple tasks and priorities in a fast-paced environment. Strong attention to detail and problem-solving skills. Scheduling and coordination. Organization and time management.
